Overview
We are seeking a highly organized and detail-oriented Secretary to join our team. The ideal candidate will provide essential administrative support, manage front desk operations, and ensure smooth office functionality. This role requires excellent communication skills, proficiency in various office software, and the ability to handle multiple tasks efficiently. Prior experience in medical or dental offices is a plus, but not mandatory. The Secretary will be a key point of contact for clients and staff, contributing to a professional and welcoming environment.

Responsibilities

  • Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Handle filing systems, organize documents, and ensure proper documentation procedures are followed
  • Provide customer service support by addressing inquiries and assisting clients with their needs
  • Schedule appointments, coordinate meetings, and manage calendars effectively
  • Assist with bookkeeping tasks such as invoicing and billing when necessary
  • Proofread correspondence and documents for accuracy and clarity
  • Support administrative tasks such as photocopying, faxing, and mailing
  • Maintain a clean and organized office environment to promote efficiency

Qualifications

  • Proven clerical or administrative experience, preferably in medical or dental offices
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and data entry tools
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette and customer service skills for handling front desk duties and client interactions
  • Ability to type accurately and efficiently; proofreading skills are a plus
  • Experience with multi-line phone systems and front desk management preferred
  • Knowledge of medical or dental office procedures is advantageous but not required
  • Strong organizational skills with attention to detail in filing, record keeping, and correspondence management

Job Type: Full-time

Pay: $24.00-$26.00 per hour

Expected hours: 40 per week
