Job Summary: We are seeking a dedicated and detail-oriented Customer Service and Administrative Coordinator to join our team. In this multifaceted role, you will be the primary point of contact for our customers, ensuring exceptional service and support. Your responsibilities will include reviewing and submitting invoices, managing accounts receivable, supporting bookkeeping tasks, and facilitating seamless coordination among our dispatcher, sales team, and management. Ideal candidates are organized, proactive, and excel in communication, with a commitment to enhancing the customer experience and operational efficiency.
Responsibilities:
- Customer Support: Serve as the first point of contact for our customers and address inquiries, schedule appointments, and ensuring a seamless customer experience. Directing to the direct department or person when other team members are needed to properly handle the customer call.
- Customer Invoices: Accurately review completed job invoices and payments to customers, ensuring proper amounts have been invoiced and proper payments have been collected. Correct invoicing or payment errors where needed. Prepare, send and collect payment for invoices when not completed by a technician.
- Accounts Receivable: follow up and collect on outstanding customer invoices
- Dispatch Coordination: Work closely with our dispatch team to schedule service and maintenance calls, optimizing technician assignments and availability.
- Sales Team Coordination: Coordinate with the sales team to arrange estimates and quotes for customers, maintaining efficient communication to meet customer needs.
- Bookkeeping Support: assist bookkeeping with invoicing review, customer collections, and inputting data into QuickBooks Online
- Field Service Management: Manage customer interactions and service records in ServiceTitan (our field management software), ensuring accurate and up-to-date information for smooth follow-ups and quick issue resolution.
- Administrative Support: Provide support to the management team on various administrative duties, including data entry, reporting, and assisting with company initiatives, as needed.
- Outbound Customer Outreach: Conduct periodic outreach to customers to promote our services, discuss seasonal offers, and schedule appointments.
Qualifications:
- Experience: 2+ years in customer service, administration, or a related role; experience in the HVAC or trades industry a plus.
- Bookkeeping Knowledge: Basic bookkeeping and invoicing experience; familiarity with QuickBooks Online is a plus.
- Software: proficient in using computer systems and software applications
- Skills: Highly organized with excellent communication and problem-solving skills; able to manage multiple tasks and maintain attention to detail.
- Attitude: Positive, empathetic, and professional demeanor with customers and team members; reliable under pressure and proactive in solving issues.
