Overview
We are seeking a dedicated and detail-oriented Customer Service Representative to join our team. This role involves providing exceptional support to clients and internal teams, managing administrative tasks, and ensuring smooth daily operations. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with various office software. Experience with medical or dental offices, QuickBooks, and multi-line phone systems is highly desirable. Duties
- Respond promptly to customer inquiries via phone, email, and in person, demonstrating professional phone etiquette and customer support skills
- Manage multi-line phone systems efficiently, directing calls and taking accurate messages
- Perform data entry tasks with high accuracy using Microsoft Office, Google Workspace, and other relevant software
- Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
- Assist with clerical duties such as filing, proofreading, and document preparation for various departments
- Support front desk operations by greeting visitors and managing appointment scheduling
- Utilize QuickBooks for basic bookkeeping tasks and financial record keeping
- Provide administrative support for medical or dental office functions if applicable, including patient registration and insurance verification
- Maintain a professional appearance and demeanor while supporting team members in daily operations
Requirements
- Proven experience in office administration, clerical work, or customer service roles
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry applications
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong communication skills, knowledge of languages is a added advantage including phone etiquette and customer service expertise
- Ability to handle sensitive information with confidentiality and professionalism
- Prior experience in medical or dental office settings is advantageous but not required
- High school diploma or equivalent; additional administrative training or certification is preferred
