Job ProfileThe Administrative Assistant will be required to take direction from the Executive Assistant, Community Services and work intuitively to provide strategic support to both the Director of Corporate Strategy and the Director of Economic Development as well as provide support to the service areas under their portfolio. In addition to assisting in creating a supportive and efficient team environment, the goal of this position will be to maintain high customer satisfaction both internal and external. The successful candidate must have strong interpersonal skills, the ability to manage multiple tasks at once, work independently and experience with managing administrative responsibilities. This role has access to confidential corporate and human resource matters.
What you will be doing- Manages the Director of Corporate Strategy and the Director of Economic Development's business schedule and provides administrative support as required.
- Drafts and formats materials, presentations, spreadsheets, graphics, reports, minutes for committees, etc.
- Coordinates corporate administrative processes, information, forms, etc. for the divisions.
Represents the department on committees as directed. - Coordinates corporate administrative processes, information and forms for the departments.
- Identifies continuous improvement opportunities for the department and promotes corporate values.
- Recognizes politically sensitive and/or confidential issues/materials and brings matters to the attention of the Director of Corporate Strategy and the Director of Economic Development
- Communicates corporate administrative information and reports any changes/concerns along with potential issues that may arise.
- Manages schedules and prepares for weekly meetings, regular reporting and training.
- Assists with administration of the monthly and annual financial forecasting and budgets.
- Maintains Records Management Program for the Divisions.
- Provides backup for Administrative Assistants in other divisions within the department.
- Provides positive and professional administrative support to ensure good customer service for internal and external customers.
College Diploma in Business, Project Management Coordinator, Executive Assistant Program, Administrative Assistant Program, Office Administration Executive Program.
Experience and KnowledgeOne to two years of progressively responsible and diversified administrative experience, including project coordination/management skills, Advanced MS Office skills, with a good understanding of financial principles. Public sector experience would be considered an asset.

Your compensationThis position is within Grade 2 of the Non-Union Salary Schedule and has an annual salary range of $64,119 to $78,187. We offer a comprehensive benefit package and are an Ontario Municipal Employees Retirement System (OMERS) employer.
Hours of workMonday to Friday, 8:30 a.m. to 4:30 p.m. (35 hours per week)
Location of positionThis position is located at City Hall, 50 Dickson St.
