Job Description Summary: The administrative assistant will provide support to the plant management team by managing schedules, coordinating meetings, preparing documents, organizing travel arrangements and performing other duties as assigned. The ideal candidate should have strong organizational skills, be able to multitask and work independently while maintaining attention to detail.

Key Responsibilities:

  • Schedule meetings and manage calendars for multiple individuals.
  • Prepare agendas and minutes for meetings.
  • Organize travel arrangements including booking flights, hotels, rental cars and managing expenses.
  • Create presentations using PowerPoint or other tools.
  • Maintain databases and spreadsheets with accurate information.
  • Handle incoming calls, take messages and redirect calls when necessary.
  • Order office supplies and equipment.
  • Perform general administrative tasks such as filing, faxing and photocopying.
  • Collaborate with colleagues on special projects as needed.

Required Qualifications:

Post Secondary Degree Preferred Or Relevant Experience Required
Proficiency in Google Suites (Docs, Sheets, Slides).

Strong organization skills and ability to prioritize tasks.

Excellent communication and interpersonal skills.

Preferred Qualifications:

Ability to handle confidential information with discretion.

Experience with calendar management and meeting coordination.

Knowledge of basic accounting principles and budget tracking.

Familiarity with project management methodologies.

Comfortable working in a fast-paced environment with changing priorities.
