Über
The industry leader in play and recreation products has an opening for a detail-oriented, organized, and proactive Proposal Coordinator in Calgary, Alberta. This is an in person position only, and remote work is not available.
As a key member of our proposal team, you will help ensure fast, accurate, and professional submissions by supporting Territory Managers with:
Proposals & Tenders
- Prepare complete proposal packages and tender submissions
- Review RFP documents and help determine required formats and documentation
- Conduct daily tender searches for opportunities and addenda
- Assist in assembling proposals using company templates and checklists
- Review proposals for accuracy, completeness, formatting, and quality
Sales Support
- Prepare quotes, add-ons, and direct-request pricing
- Assist Territory Managers with client documents, follow-ups, and updates
- Support both direct inquiries and non-direct bid packages
- Maintain organized file systems and ensure all documents are current and accessible
Tracking, Communication & Coordination
- Update HubSpot CRM with project status, deadlines, and client interactions
- Assist with project trackers and RFP tracking sheets
- Request COI or bonding documentation when required
- Coordinate post-award documents and prepare internal debrief summaries
- Collaborate closely with marketing to keep proposal materials up to date
- Support the opposite region (East/West) when workloads shift or deadlines require teamwork
Desired Skills and Experience:
- 2–3 years of administrative, proposal, or sales support experience
- Strong writing skills and excellent attention to detail
- Proficiency with Google Suite and Microsoft Office (especially Excel)
- Experience with HubSpot CRM (asset but not required)
- Strong organizational skills with the ability to handle multiple deadlines
- Self-motivated, reliable, and thrives in a fast-paced environment
- Comfortable working in a small, collaborative office setting
- Ability to adapt quickly to changing priorities and respond with urgency when needed

Pay: $55,000.00-$65,000.00 per year
