Position Summary

This Administrative Assistant provides essential administrative, financial, and sales support to ensure the efficient operation of the office. Responsibilities include managing reception, coordinating office resources, and supporting staff with presentations, correspondence, and spreadsheets. The position also contributes to aggregate sales by providing pricing, processing orders, and assisting customers, while backing up finance functions through data entry and support of Accounts Payable, Accounts Receivable, and Payroll.

This is a 12-month employment contract with the possibility of extension.

Job Duties

Sales Support

  • Support aggregate sales by providing pricing to potential customers and taking and processing orders.

Financial Support

  • Perform accurate and timely data entry to support financial processes.
  • Back up finance team members by learning and assisting with Accounts Payable, Accounts Receivable, and Payroll functions.

Administrative & Office Support

  • Provide administrative and reception support to the office, including letter creation, preparing presentations, and creating/maintaining various spreadsheet applications.
  • Greet and welcome visitors; answer and professionally direct incoming phone calls.
  • Respond to internal and external requests for information in a timely manner.
  • Manage office supply orders to maintain adequate stock and monitor supply usage.
  • Collect, sort, and distribute mail; receive courier packages and ensure timely deliveries.
  • Support office staff with meeting coordination, booking meeting rooms, arranging catering, and other related administrative duties as required.
  • Perform photocopying, faxing, mailing, and other general office duties.
  • Collaborate with other administrative staff on projects and cross-functional tasks.
  • Carry out other duties as assigned to support office and business needs.

Facilities & Resource Management

  • Oversee meeting room and catering requirements, ensuring spaces are clean, stocked, and ready for use.
  • Monitor and maintain kitchen facilities, supplies, and appliances for staff use.
  • Coordinate the repair and maintenance of office equipment such as phones, mail systems, copiers, and fax machines.
  • Maintain up-to-date staff directories, contact lists, and office procedures.

Requirements

  • Highschool diploma.
  • Minimum 1 year of office experience.
  • Proficient with Outlook, Excel, and PowerPoint.
  • Strong written and verbal English skills.
  • Organizational skills – able to manage multiple priorities.
  • Strong attention to detail in work.
  • Friendly demeanor interacting with coworkers, guests, clients, and customers.
