We are seeking a meticulous and detail oriented Office Manager to join our team and play a vital role in the success of this new operation. Fluent Spanish is a must.
Job Description
As the Office Manager you will oversee general office operations ensuring efficiency and effectiveness across administrative and operational tasks. This is a hands on role that supports a wide range of responsibilities to promote a productive and positive work environment. This position requires multitasking strong organizational skills and a proactive approach.
Key Responsibilities
Administrative Support
- Manage daily office operations and maintain an organized and efficient workplace
- Maintain office filing systems and ensure accurate documentation of all key processes
Shipping and Logistics
- Print purchase orders and coordinate shipping documentation
- Collaborate with warehouse and production teams to ensure timely order fulfillment
Human Resources Assistance
- Assist with onboarding new employees including processing paperwork and conducting orientation
- Maintain employee records and support payroll submissions in coordination with HR or accounting
- Schedule and manage records for employee time off sick leave and other HR related matters
Procurement and Office Supplies
- Monitor office supply levels and order essentials such as labels paper and other materials
General Office Management
- Oversee the cleanliness and organization of the office
- Organize office events meetings and team gatherings as needed
Qualifications
- Proven experience as an office manager administrative assistant or in a similar role
- Strong organizational skills and the ability to multitask effectively
- Proficiency with Microsoft Office Suite including Word Excel and PowerPoint
- Experience in shipping logistics or warehouse operations is a plus
- Excellent communication skills in Spanish and English
- Basic understanding of HR processes and general office administration
- Positive professional demeanor with the ability to thrive in a fast paced environment
