POSITION: Athletic Director

REPORTS TO: Manager – Student Enrichment

POSITION TYPE: 11-month employee

START DATE: 25-26 School Year

COMPENSATION: $61,500 - $76,468

THE ROLE

When you join the YES Prep team, some of the exciting work and responsibilities will include:

Program Management

  • Manage and evaluate all full and part-time athletic staff members including assisting in the hiring, disciplining or exiting of all athletic staff members in accordance with YES Prep and/or HCAL requirements.
  • Prepare and manage a master sports calendar complete with all athletic events/games, departure times, practices, etc.
  • Manage compliance for all stakeholders in athletics including but not limited to: up-to-date physicals, Concussion Acknowledgement, Sudden Cardiac Arrest, League Acknowledgement of Rules, and Steroid Agreement.
  • Manage the compliance and campus athletic websites
  • Develop and positive and engaging relationship with parents
  • Enforce and implement all rules and policies pertaining to the HCAL, YES Prep Public Schools, and any other organization in which athletic teams might participate.
  • Facilitate completion of administrative duties for school's athletic program
  • Collaborate with members of the campus team to increase campus culture, safety and belonging
  • Build an athletic environment that is safe, supportive and of high standards

Administrative and Strategic Tasks

  • Prepare and manage a master budget
  • Be well versed in the procurement process and how to submit requests from budget
  • Coordinate program fundraising (if appropriate).
  • Evaluate all athletic programs on an annual basis and make recommendations for improvement to the principal.
  • Develop priority plans for the year utilizing resources such as SharePoint, RACI charts and SOPs
  • Provide administrative direction and oversight for all athletic programs and activities.
  • Coordinate athletic recognition and rewards
  • Attend and supervise all home athletic contests.
  • Provide a safe and compliant venue for all home games
  • Submit official game report sheets to accounts payable department in a timely manner.
  • Create clear systems and structures for eligibility, communication and accountability for stakeholders.
  • Teach approximately 1 to 2 classes of athletics.
  • Create a communication structure for all stakeholders to provide information of the athletic program.
  • Perform other duties as assigned by principal.

Coach Management

  • Supervise, and develop full and part-time athletic staff members in the athletics program
  • Complete weekly to bi-weekly check-ins with all coaches on the athletic staff
  • Conduct observations of practices to ensure expectations are being met
  • Ensure that coaches are executing systems of communication, accountability and academic support

Schedule Management

  • Ensure that a master sports calendar complete with all athletic events/games, departure times, practices is indicated on the campus athletic website
  • Schedule suitable competition for all non-district events/games.
  • Confirm all athletic events/games and transportation requests prior to each athletic event/game
  • Utilize transportation software to schedule all athletic trips in advance.
  • Secure all officials/referees for all athletic contests and notify officials/referees of any and all changes in athletic calendar.
  • Notify the proper stakeholders at least 24 hours in advance of any changes/cancellations in athletic calendar.
  • Coordinate gym and athletic field use for practices and games and give final clearance for the use of either the gym or athletic fields.

Training Management

  • Ensure all coaches have completed all league, state and school required coaching courses.
  • Ensure Hourly employees are well versed in the time management protocol for payroll.
  • Ensure all coaches are CPR/AED and first-aid certified and maintain all certifications as required by YES Prep and HCAL

Student Athlete Management

  • Facilitate yearly collection of all necessary compliance document for student-athlete participation in athletics including but not limited to: up-to-date pre-participation physicals, Concussion Acknowledgement, Sudden Cardiac Arrest, League Acknowledgement of Rules, and Steroid Agreement documents through Rank One software.
  • Schedule a pre-season team meeting to discuss expectation, policies and procedures for all student-athlete participants, their families, coaches, and staff.
  • Collect and maintain on file all documents signed by both student-athlete and parent/guardian.
  • Hold student athletes accountable for the expectations of the athletic program

THE MUST HAVES

  • Bachelor's Degree from an accredited four-year educational institution
  • Minimum of two to four years of athletic program management
  • History of positive relationships with key stakeholders
  • Belief in and commitment to the mission and core value of YES Prep Public Schools
  • Openness to giving and receiving frequent feedback
  • Demonstrated ability to work on a team
  • Ability to juggle multiple tasks and initiatives at once
  • Ability to maintain emotional control under stress

  • Frequent prolonged and irregular hours of duty, including evenings and weekends
