Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, managing administrative tasks, and ensuring smooth communication across departments. The ideal candidate will possess strong computer skills, excellent organizational abilities, and experience in office management or clerical support. Bilingual skills are a plus to assist diverse client and staff interactions. Duties
- Support the purchasing process by generating purchase orders, tracking open orders, and confirming delivery schedules with vendors.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Assist the Ops Team by entering and updating production schedules, order statuses, and shipping timelines in NetSuite.
- Reconcile packing slips, invoices, and PO records
- File all purchase, shipping, and receiving documentation in both digital and physical formats in accordance with company standards.
- Support office management functions such as organizing files, preparing reports, and managing correspondence
- Support the General Manager and Plant Manager with administrative tasks such as preparing reports, compiling data, and updating trackers.
- Serve as the point of contact for coordinating paperwork flow between departments (Production, Logistics, and Finance).
- Other Operational duties as assigned.
Requirements
- Proven experience in an office environment with strong clerical and administrative skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with NetSuite or similar bookkeeping software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong computer literacy and familiarity with multi-line phone systems
- Bilingual abilities are highly desirable to support diverse client needs
- Exceptional customer service skills with professional phone etiquette
- Attention to detail in proofreading, data entry, and document management
- Previous experience in office management or as a personal assistant is a plus
- Ability to handle multiple responsibilities efficiently while maintaining professionalism and confidentiality
