Job Summary
As a Centralized Scheduling Representative, you will be the first point of contact for our clients, providing exceptional service and support as you assist them with their scheduling needs. This role involves answering incoming calls, assessing customer needs, and ensuring effective scheduling for outpatient and psychiatric services. Your ability to communicate effectively and provide support will be key as you contribute to a vital service that helps those in need.

Key Responsibilities

  • Answer incoming calls and provide assistance or direct them to the appropriate staff member.
  • Schedule first-time appointments for outpatient and psychiatric services, managing the appointment system to ensure efficient and accurate scheduling.
  • Assess customer needs, including crisis situations, handling calls accordingly.
  • Perform clerical tasks such as sending appointment letters/reminders, filing, generating reports, and maintaining activity logs.
  • Verify client insurance eligibility and referral sources using various websites and software systems.
  • Adhere to HIPAA guidelines to ensure customer privacy and confidentiality at all times.
  • Take on additional duties as assigned by the supervisor.

Education, Experience, And/or Credential Qualifications

  • High school diploma or GED required.
  • Previous customer service experience is preferred.

Additional Qualifications

  • Excellent oral, written, and interpersonal communication skills required.
  • Strong customer service orientation skills and ability to multi-task while being a team player.
  • Excellent typing skills and ability to work with a computer.
  • Flexibility and openness to floating to different locations.
  • Reliable transportation to get to the area assigned.

Physical Requirements

  • ADA Consideration - Sedentary work: Exerting up to 10 pounds of force occasionally (exists up to 1/3 of the time) and/or a negligible amount of force frequently (exists 1/3 to 2/3 of the time) to lift, carry, push, or pull, or otherwise move objects.
  • Repetitive movements of hands, fingers, and arms for typing and/or writing during work shift.
  • Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
