Position Summary:
The New York City Public Schools (NYCPS) system is the largest in the country, composed of approximately 1 million students and 75,000+ teachers in over 1,600 schools. The core functions of the Office of Curriculum and Instruction are to work with educators and external partners to produce high-quality instructional resources that align with the New York State Learning Standards, illustrating the path to postsecondary readiness from Pre-Kindergarten through 12th grade; facilitate the availability of exemplary citywide student programs for students and families, as well as serving as models of effective instructional practices; and deliver relevant, engaging, and research-based professional learning opportunities designed to support the instructional goals of teachers and school leaders.

The Project Coordinator is instrumental in providing critical strategic and program coordination and planning support to the Project Management Team and the Directors across the Literacy Office/NYC READS. This position is expected to primarily function independently and exercise independent initiative and judgement with responsibility for preparation of plans, reporting, communications, performance management and other special projects. The responsibilities involve broad interaction and collaboration with other office teams, as well as with numerous external professional learning partners and community constituents, including providing presentations and informational material to field and school-based staff to inform them regarding program. Key Relationships:
Works closely with the Senior Program Manager, Program Managers, Literacy Directors, external vendors and liaisons with other Central NYCPS Offices and departments within Curriculum and Instruction.

Responsibilities

  • Communicates with vendors, school teams and teachers assigned to particular cohorts and the community-at-large about periodic milestone activities and requirements.
  • Coordinates and implements various aspects of the strategic project and program management including:

  • coordinating the production and distribution of program materials, including the upload and organization of all materials and digital resources to NYCPS internal portals;

  • maintaining communication with internal content teams and school based staff;
  • coordinating of external stakeholders such as schools, teachers, and outside partners; and
  • collaboration of external partners.

  • Evaluates processes, systems and makes recommendations for improvements in programs and policies.

  • Provides reporting, reviews and performs analysis of complex problems.
  • Organizes all logistics and oversees event management for professional development workshops and special events, including participant and community outreach and communications, registration, venue coordination, procurement and coordination of materials, resources, and services (e.g. printing, courier, staffing), and technical support.
  • Provides support to senior and subordinate staff on data tools and new and current technology used by the team.
  • Provides data entry, management and analysis for tracking, logistical and reporting purposes and data related to Literacy Office/NYC READS improvement efforts as well as executive updates.
  • Participates in the development of project plans that meet program objectives, timeline and ensure adherence to established goals and objectives.
  • Assists the Senior Program Manager in setting up system to procure program supplies, journal subscriptions, instructional resources and services, monitor expenditures, and report on all purchase order/encumbrances to the Program Manager that are related to encumbrance schedules and deadlines.
  • Manages relationships with event venues, vendors, professional service providers, and community constituents.
  • Organizes and maintains spending plans and documentation such as invoices and timesheets for assigned vendors or districts.
  • Supports the Literacy Office/NYC READS in meeting program deliverables and troubleshooting implementation issues with schools and districts.

  • Provides project support to professional development (PD) to meet the needs of teachers. Support to the program will involve:

  • supporting programs based on individual program needs by working with school leadership, teachers, and other NYCPS offices;

  • assisting in assessing projects needs for each of the PD workshops through introductory site visits, vendor communications, data review; and
  • communicating regularly to provide teachers, with follow up, updates and ongoing information about PD's.

Qualification Requirements
Minimum

  • A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one (1) year of experience as described in "1" above.

  • Demonstrated strong project and event management skills.
  • Excellent spoken and written communication skills.
  • Strong attention to detail and aptitude for working with technology, databases and Internet applications.
  • Proficiency in Microsoft Office 365 applications or Google Suite applications.

Preferred

  • Familiarity with NYCPS systems and structures.
  • Attention to detail, extremely well-organized.
  • Ability to multitask, take initiative, comfortably switch gears and prioritize workload.
  • Strong customer service orientation.
  • Ability to learn quickly and continuously, be responsive to feedback and succeed in a rapidly changing environment.
  • Strong interpersonal skills in dealing with education and non-education personnel, internal and external to the NYCPS.
  • Ability to work effectively as part of a team in a fast-paced environment.

Salary
: $72,114 - $97,343

(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
