Supreme Health Systems, Inc. is seeking an Office Manager for our office located in Charlotte, NC. The Office Manager will support business needs for Certified Nursing Assistants (CNAs) and Personal Care Assistants (PCAs). Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety for personal care assistants in the area (Charlotte/Gastonia/Monroe). Duties and responsibilities include recruiting and scheduling aides to provide home health care services to local clients. When aides are unavailable, the Office Manager must be willing to provide service to the clients to maintain the business relationship (combined with regular work hours). Previous experience as a Front Office Manager or Office Administrator would be an advantage. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve local day-to-day operation.
Responsibilities
- Maintain and support staffing needs of in-home clients and schedules
- Manage daily administrative tasks and office requirements
- Coordinate in-services, training, and direct report for new hires
- Ensure that all Aide and Client Timesheets are correct, and in on time daily
- Willingness to fill in for aides and perform home health care duties for clients when needed, such as assisting with activities of daily living (ADLs: eating, bathing, dressing, and/or toileting, etc.)
- Ability to develop and maintain rapport with the client, family, and staff
- Follows all standards for universal precautions, infection control, and policies when reporting to assignment
- Follows procedure regarding accountability for client supplies
- Schedule client re-assessments routinely (on time) and review employee & client records (paper & electronic) for External Audit compliance standards
- Hire at minimum, 2 aides per week
Skills
- Must have 3 Years of CNA and 2 years of office experience as a manager or administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
Job Type: Full-time
Schedule:
- 8-hour shift
- Holidays
- Monday to Friday and occasionally fill in with client shifts as needed
Ability to commute/relocate:
- Charlotte, NC 28204: Reliably commute or planning to relocate before starting work (Preferred)
- Must have a valid driver's license and dependable transportation and ability to travel on the job
Education/Qualifications:
- Bachelor's Degree (Preferred) or high school diploma; additional experience as an Administrative Assistant or Secretary will be a plus
- Must pass a criminal background check
- Must have work status verified by E-Verify per personnel policy
- Must not be listed on the North Carolina Medicaid Provider Termination and Exclusion list or the United States Department of Health and Human Services (US DHHS), Office of Inspector General (OIG) list of excluded individuals/entities upon hire or during monthly checks per personnel policy
- TB test (proof needed)
- CPR certification (proof needed), company will provide if needed
- Bloodborne Pathogen Certification (proof needed), company will provide if needed
