Responsibilities
- Serve as the first point of contact with professionalism and warmth.
- Handle incoming calls with proper phone etiquette, answering questions when possible and directing inquiries to appropriate personnel.
- Manage calendar schedules and appointments using tools such as Salesforce and Microsoft Office, ensuring all commitments are organized and timely.
- Perform data entry tasks accurately using various computer skills, including proficiency in Microsoft Office, Salesforce and other online systems.
- Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records.
- Assist with bookkeeping duties such as invoicing, expense tracking, and basic QuickBooks entries to support financial accuracy.
- Support office management activities including ordering supplies
- Provide clerical support such as preparing correspondence.
- Offer customer service support by addressing inquiries promptly and professionally while maintaining positive relationships with clients and staff.
- Ensure compliance with office policies while fostering a welcoming environment.
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Salesforce or other CMS, and data entry software like QuickBooks.
- Strong multitasking abilities with effective time management skills to prioritize tasks efficiently.
- Exceptional communication skills paired with professional phone etiquette.
- Demonstrated ability to handle sensitive information discreetly with high attention to detail—proofreading skills are essential.
- Customer service experience that reflects patience, clarity, and problem-solving capabilities.
