About the Role
We're seeking a tech-savvy Office Manager with strong Executive Assistant capabilities to join our team. This role is perfect for someone who thrives in a fast-paced digital environment, leverages AI tools to work smarter, and has a natural affinity for numbers and organization. You'll be the operational backbone of our office while providing high-level executive support.
Key Responsibilities Executive Support
- Provide comprehensive administrative support to executive leadership
- Manage complex calendars, scheduling, and meeting coordination
- Prepare reports, presentations, and correspondence with exceptional attention to detail
- Coordinate travel arrangements and process expense reports
- Act as gatekeeper and liaison between executives and internal/external stakeholders
Office Management
- Oversee daily office operations and ensure seamless workflow
- Manage vendor relationships, contracts, and office supply inventory
- Coordinate office events, team meetings, and company gatherings
- Maintain organized filing systems (both digital and physical)
- Implement and optimize office procedures and systems
Financial & Data Management
- Track and reconcile office expenses and budgets
- Process invoices, purchase orders, and financial documentation
- Maintain accurate records and databases with strong numerical accuracy
- Generate reports and analyze operational metrics
- Assist with budget planning and forecasting
Technology & AI Integration
- Leverage AI tools (ChatGPT, automation platforms, workflow tools) to enhance productivity
- Implement and manage digital systems for scheduling, project management, and communication
- Troubleshoot basic technical issues and coordinate with IT support
- Stay current on emerging technologies and recommend efficiency improvements
- Create and maintain digital documentation and knowledge bases
Required QualificationsTechnical Skills
- Advanced computer proficiency across Google Workspace
- Fast, accurate typing (75+ WPM preferred)
- Experience with AI tools (ChatGPT, Notion AI, automation platforms)
- Proficiency with project management software (Asana, , ClickUp, or similar)
- Strong Google Sheets skills including formulas, pivot tables, and data analysis
- Comfortable learning new software quickly and adapting to technology changes
- Website updates and email campaign monitoring

Experience & Education
- 3-5 years of experience in office management, executive assistant, or similar role
- Demonstrated track record of implementing efficient systems and processes
