Overview
We are seeking a highly organized, proactive, and detail-oriented professional to serve as our Executive Assistant/ Paralegal. This hybrid role supports executive leadership, manages daily office operations, and provides critical legal and administrative support. The ideal candidate is a strong communicator, thrives in a fast-paced environment, and can seamlessly shift between administrative, operational, and legal task
Key Responsibilities
1. Executive Assistant Duties
- Manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Prepare agendas, presentations, and documents for internal and external meetings.
- Draft, proofread, and edit correspondence and communications on behalf of executives.
- Project Management: Track deadlines, manage priorities, and ensure executive leadership is fully briefed and prepared.
- Provide administrative support to various departments/suites.
- Maintain confidentiality and handle sensitive information with discretion.
- Oversee daily office operations to ensure a professional, efficient, and well-functioning work environment.
- Manage office supplies, equipment, vendor relationships, and facility maintenance.
- Plan company meetings, events, and board meetings.
- Attend company meetings to accurately take notes and dispersing key takeaways/action items.
- Implement and improve office procedures, systems, and workflows.
2. Paralegal / Legal Support Duties
- Draft, review, redline, and organize legal documents including contracts (i.e. promissory notes, service agreements, statement of work agreements etc.), NDAs, resolutions, and corporate governance materials.
- Maintain legal files, document repositories, and compliance calendars.
- Assist with compliance efforts including regulatory filings, corporate registrations, and policy updates.
- Coordinate communication with external counsel and track ongoing legal matters.
- Support contract lifecycle management and ensure timely execution, filing, and tracking.
Qualifications
Required
- 3–7+ years of experience as an Executive Assistant/, Paralegal, or in a hybrid administrative/legal role.
- Strong understanding of contract terminology, legal documents, and compliance processes.
- Exceptional organizational skills with the ability to multitask and prioritize.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and judgment.
- Proficiency with productivity tools (Google Workspace, Zoho CRM/Projects.).
Preferred
- Experience supporting C-suite executives or senior leadership.
- Experience in a legal department, law firm, startup, or high-growth environment.
- Notary certification or willingness to obtain one.
- Familiarity with project management and contract management software, preferably Zoho.

Pay: $52, $72,691.49 per year
