Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team Part Time. This role is vital in ensuring smooth office operations, and supporting administrative functions. The ideal candidate will possess strong office management skills, be highly organized, and demonstrate excellent communication abilities. Bilingual skills are a plus, and experience with various office software is essential to succeed in this position.
Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy
- Handle incoming correspondence, emails, and inquiries efficiently
- Maintain accurate data entry and filing systems for easy retrieval of documents
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
- Perform clerical duties including proofreading, document preparation, and record keeping
- Support office management tasks such as supply inventory and organization of office spaces
- Provide customer support via phone and in person, ensuring excellent service standards
- Manage administrative tasks such as typing reports, data entry, and maintaining office records
- Uphold professional phone etiquette and ensure timely responses to all communications
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with experience in data entry and office management software like QuickBooks
- Excellent organizational skills with the ability to multitask effectively
- Exceptional phone etiquette with experience managing multi-line phone systems
- Previous office experience in clerical or administrative roles is highly desirable
- Attention to detail for proofreading, filing, and maintaining accurate records
- Strong time management skills to prioritize tasks efficiently
- Customer service orientation with a friendly demeanor and professional attitude
