Overview
We are seeking a professional and organized Receptionist / Office Support to join our team. This role is essential in maintaining smooth office operations, providing excellent customer service, and supporting administrative functions. The ideal candidate will have strong communication skills, proficiency with office software, and experience in managing front desk responsibilities. Bilingual abilities are a plus to effectively serve diverse clients and visitors. Responsibilities

  • Greet clients warmly at the front desk, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records using various office management software such as QuickBooks and bookkeeping programs
  • Assist with administrative tasks such as proofreading documents, managing office supplies, and organizing files
  • Support customer service efforts by responding to inquiries professionally and efficiently
  • Maintain a clean and organized reception area to create a welcoming environment
  • Provide clerical support including typing, document preparation, and supporting other departments as needed

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with experience in data entry, filing, and document management systems
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities to serve diverse populations effectively (preferred)
  • Prior office management or administrative experience is highly desirable
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Exceptional organizational skills with the ability to prioritize tasks efficiently
  • Attention to detail for proofreading documents and managing schedules accurately
  • Strong time management skills to handle multiple responsibilities simultaneously
  • Customer service experience with a professional demeanor in person and over the phone
  • Personal assistant or medical/dental receptionist experience is advantageous but not required

Pay: $ $21.00 per hour

Expected hours: 40.0 per week
