Role Description

This is a full-time, on-site role for a Front Office Coordinator at Younique Surgery Center & Medical Spa, located in Santa Monica, CA. We are seeking a friendly, organized, and detail-oriented Front Office Coordinator to be the face of our med spa. This role is essential in creating an exceptional patient experience from the moment guests walk through the door.

Key Responsibilities:

  • Greet patients with warmth and professionalism in person and over the phone
  • Schedule, confirm, and manage appointments efficiently
  • Check patients in and out; collect payments and process transactions
  • Maintain accurate patient records and ensure HIPAA compliance
  • Answer questions about services, memberships, and pricing
  • Assist with retail sales and product recommendations
  • Support providers and clinical staff with daily operations
  • Keep the front desk and lobby organized and presentable
  • Handle patient inquiries, follow-ups, and basic administrative tasks

Qualifications:

  • Previous experience in a med spa, medical office, plastic surgery practice, or hospitality setting preferred
  • Strong customer service and communication skills
  • Professional appearance and demeanor
  • Excellent multitasking and organizational abilities
  • Comfort with EMR systems, scheduling software, and point-of-sale systems
  • Sales experience or confidence discussing treatments and memberships is a plus
  • Reliable, punctual, and team-oriented
  • Associate's degree required (Bachelor's degree preferred)

-High-tier: 50/50 cost split (employee/company)

-Mid-tier: 60/40 cost split (employee/company)

Schedule:

  • Monday - Friday; 10am - 6:30pm; must be flexible to cover early mornings when other staff is on vacation.
  • 1 Saturday per month (3rd Saturday of every month); 9am - 2pm
