Position: Financial Development Coordinator

Department: Financial Development

Exempt Status: Non-Exempt

Pay Status: Salaried

Immediate Supervisor: Director of Development and

Communication

Immediate Subordinates: None

Primary Location of Work: Cobb Center at Dunn Cottage

Typical Workweek: 40 hours – Monday through Friday

Approval Authority: CEO

Reviewing Authority: Policy & Personnel Committee of the

Board of Directors

Purpose

The overall purpose of this job is to assist, cultivate, and foster donor relations by providing administrative support to all development staff. The position also serves administrative duties for the Cobb Center and Museum Archives.

The Financial Development Assistant duties include recording and acknowledging donor gifts, maintaining positive donor relations, maintaining the donor database, and creating and distributing appeals to donors.

Major Functions for which the Employee has Direct Responsibility:

Priority

  1. Functions as the Financial Development Assistant for the Agency 70% of time

· Coordinates and communicates with the Annual Giving Officer, Director of Development and Communication, Chief Financial Officer, and Chief Executive Officer on a regular basis regarding matters of financial development.

· Develops and manages appeal letters, Children's Chatter, Annual Reports, donor-specific fundraising and informational pieces and other special appeals of MHCO for approval of the Director of Development and Communication.

· Maintains and updates the donor database, primary donor lists, and mailing lists including checking for duplications and deceased donors and making additions and corrections. Ensures mailing lists include all necessary information by reviewing and correcting regularly.

· Works with the Director of Development and Communication to create reports from the donor database to be used for appeals and fundraising efforts of the Financial Development Department.

· Prepares and mails the annual giving statements of recurring donors for their records.

· Develops and updates thank you letters to donors with the approval of the Director of Development and Communication and Chief Executive Officer.

· Prepares reports for the Board of Directors as requested.

· Prepares and submits all paperwork for MHCO's NC solicitation license and MHCO's participation in the NC State Employees Combined Charity Campaign.

· Develops and implements donor recognition to include but not limited to Hayes-Neal Giving Society.

· Utilizes donor database to develop prospective lead sheets for Annual Giving Officer and Director of Development and Communication monthly.

· Assist with any other tasks as needed at the request of the leadership team at MHCO.

  1. Coordinates and Assists the Financial Development Team 15% of time

· Assists the Financial Development Assistant – Data Entry as needed with donation entry, so all gift acknowledgments are mailed to donors in a timely manner.

· Trains Financial Development Staff and Administrative Staff on donor database, to include but not limited to reports, queries, and donation entry.

Priority

  1. Acts as the Receptionist for the Cobb Center at Dunn Cottage 15% of

time

· Greets visitors and assists with providing information. Provides tours of the building, whether scheduled or unscheduled.

· Processes mail.

· Answers, returns, and phone calls as appropriate.

· Maintains and coordinates schedule regarding the use of shared space, including but not limited to the conference room, within the Cobb Center.

Person Specification

Position: Financial Development Assistant

Department Financial Development

Prerequisite Qualification, Education, Experience, or Certification:

· The person occupying this position must have a bachelor's degree from an appropriately accredited institution in Business Administration, Finance, Accounting, or related field preferred. Minimum of Associate's Degree in Business Administration or related field required.

· Two years of experience in data processing and/or database software are strongly preferred.

· Must possess experience in Microsoft Office.

· Possess excellent oral and written communication skills.

· Must pay attention to detail and possess a high degree of accuracy.

· Possess direct customer service experience or experience that includes frequent interaction with the public.

· Physical effort is minimal.

· Must be able to function efficiently despite distractions and interruptions.

· Must be able to communicate orally in English and/or in writing with residents, coworkers, families and the public.

Pay: $ $29.21 per hour
