Duties

  • Greet patients warmly and professionally, creating a positive first impression
  • Schedule appointments efficiently using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth
  • Verify insurance coverage and perform insurance verification to ensure accurate billing processes
  • Collect patient information accurately, including intake forms and updated medical histories
  • Manage multi-line phone systems with excellent phone etiquette, addressing inquiries promptly and courteously
  • Maintain and organize medical records in compliance with HIPAA regulations and health information management standards
  • Review documentation for completeness and accuracy, including care plans, medical billing, CPT coding, ICD-10/ICD-9/ICD coding, and other medical documentation
  • Assist with billing procedures such as medical collections and processing payments using electronic billing platforms like eClinicalWorks or Dentrix
  • Coordinate with clinical staff to facilitate smooth clinic operations and patient flow
  • Handle clerical tasks including filing, data entry (10 key typing), faxing, scanning, and managing office supplies
  • Support front desk operations by managing appointment reminders and follow-up communications
  • Conduct insurance verification using systems like Eaglesoft or Dentrix to ensure proper coverage before services are rendered
  • Uphold confidentiality of patient information in accordance with HIPAA standards

Requirements

  • Proven experience as a Medical Receptionist or in a similar medical office administrative role
  • Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms
  • Strong knowledge of medical terminology, ICD-10/ICD-9 coding, CPT coding, and medical billing procedures
  • Experience with insurance verification processes and Medicare procedures preferred
  • Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and office management software like Eaglesoft or Dentrix
  • Exceptional customer service skills with professional phone etiquette and clear communication abilities
  • Ability to review medical documentation accurately and efficiently while maintaining attention to detail
  • Bilingual abilities are a plus to serve diverse patient populations effectively
  • Prior clinic or dental office experience highly desirable; familiarity with dental terminology is advantageous
  • Strong organizational skills to manage multiple tasks simultaneously in a fast-paced environment
  • Knowledge of HIPAA regulations to ensure compliance in all aspects of patient information handling
