We are seeking an friendly, reliable, professional and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your proactive approach and excellent organizational skills will help maintain smooth office operations, manage communications efficiently, and support various administrative functions.
Part-Time to Full-Time | 30–40 Hours Per Week
Schedule Requirements
- Monday through Saturday
- Shifts may start as early as 7:00 AM or end as late as 7:30 PM
- Saturday availability is required
Job Description & Responsibilities
As our receptionist, you will be the first point of contact for patients and play a key role in creating a welcoming, organized, and professional environment.
Patient Greeting & Front Desk Operations
- Professionally greet and assist all patients
- Ensure required documentation is completed or scheduled for completion at check-in
- Maintain organization, professionalism, and cleanliness of the front desk area
- Assist in maintaining a clean and professional environment in the waiting room, kids' playroom, and nursing room
Communication (Phone, Text, Email)
- Promptly answer incoming phone calls, text messages, and emails
- Return messages left overnight or over the weekend in a timely manner
- Accurately take and relay messages to doctors regarding patient questions or concerns
Appointment Management
- Schedule, reschedule, and cancel appointments accurately using ChiroSpring 360software
- Ensure patients are scheduled with the appropriate provider
- Document cancellations and reschedules in ChiroSpring 360
- Contact patients who are 5 minutes or more late for their scheduled appointment
- Reach out to patients who have not confirmed next-day new patient, re-exam, or massage appointments
- Ensure patients complete required paperwork and follow up when needed
Administrative Duties
- Check mail daily
- Notify the Office Manager when office supplies or supplements are low or need reordering
- Photocopy, scan, fax, and file documents as needed
- Print doctors' schedules daily
- Complete basic administrative tasks as assigned
- Fold and/or launder massage linens as needed
- Clean and organize the kids' playroom
- Maintain organization throughout the office at all times
Payments & Financial Tasks
- Accurately collect patient payments (cash and credit)
- Balance patient payments between ChiroSpring 360 and Fortis merchant system
Customer Service
- Provide exceptional customer service by addressing inquiries, resolving minor issues, and ensuring patient satisfaction
Key Responsibilities & Qualifications
- Maintain a professional demeanor at all times
- Adhere to company policies, procedures, and Standard Operating Procedures
- Demonstrate strong communication and interpersonal skills
- Proficiency in ChiroSpring 360, Microsoft Office, Fortis, and Outlook (or willingness to learn)
- Maintain patient confidentiality in compliance withHIPAA regulations
- Ability to work 30–40 hours per week, Monday through Saturday
Pay: $ $18.00 per hour
Expected hours: 30.0 – 40.0 per week
