Job Summary
We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily office operations, Human Resources, and manage financial records. This role requires a versatile individual with strong administrative, bookkeeping, and team management skills to ensure smooth office functioning and accurate financial tracking. The ideal candidate will possess excellent communication and organizational skills, with experience in office management, human resources, and vendor relations. This position offers an opportunity to contribute to a dynamic team environment while maintaining efficient office workflows.

Duties

  • Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems
  • Onboard / Off board new and leaving talent
  • Manage Employee Benefits
  • Oversee calendar management, scheduling appointments, meetings, and events
  • Handle bookkeeping tasks using Xero, including invoicing, expense tracking, and financial reporting
  • Manage payroll processing and human resources functions such as employee records and benefits administration
  • Coordinate vendor management activities, including procurement and service provider relations
  • Assist with budgeting, financial planning, and expense analysis to support organizational goals
  • Supervise administrative staff and provide training & development opportunities for team members
  • Maintain filing systems for documents, records, and correspondence ensuring confidentiality and organization
  • Support event planning activities for company functions or client engagements
  • Ensure effective communication within the team through phone etiquette and clear messaging

Qualifications

  • Proven experience in office management, administrative support, or clerical roles within a professional environment
  • Strong bookkeeping skills with proficiency in QuickBooks or similar accounting software
  • Prior experience in human resources, payroll processing, and vendor management preferred
  • Excellent organizational skills with the ability to manage multiple priorities efficiently
  • Effective communication skills both written and verbal; professional phone etiquette required
  • Supervising experience or team management background is highly desirable
  • Knowledge of budgeting processes and financial reporting standards
  • Experience in medical office management or healthcare settings is a plus but not required
  • Demonstrated ability to handle confidential information discreetly and professionally
  • Proficiency in calendar management software and MS Office Suite (Word, Excel)

Pay: From $50,000.00 per year
