Job Description

The Automotive and Collision Program Assistant will assist with daily operations of all Automotive & Collision programs. This position will be assisting with student tracking, advising and registration, coordinating job internships, hosting recruiting events, and program marketing. This position will work closely with the program head to help ensure faculty, staff, industries, vendors, and community stakeholders are effectively working together to ensure a student's success in the program.

Description of Duties and Tasks

  • Assist in advising new and continuing students including all aspects related to NOVA, partnering employers, and partnering manufacturers..
  • Assist with guiding students on their first steps to gaining an internship.
  • Keep detailed records and data on student program progress and attrition.
  • Assist in the accreditation process.
  • Assist in student recruitment and retention activities and events.
  • Assist in developing and distributing marketing materials.
  • Assist with building relationships with community partners to include high schools, area employers, and other industry groups.
  • Assist program head and faculty with coordinating with stakeholders to host automotive and collision events.
  • Track event attendance and record meeting minutes where applicable.
  • Track faculty office hours to assist students in need of a faculty advisor.
  • Assists faculty in assembling professional development requests within shared services guidelines.
  • Assists faculty with grant data and expenditure reports where applicable.
  • Assists in adjunct faculty hiring process and LMS support.
  • Serves on committees where appropriate.
  • Assists campus for special events or temporary situations where additional support is needed.
  • Assist with projects as indicated by the program head.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

  • Ability to work well with current and prospective students of all backgrounds

Minimum Work Experience:

  • Customer service experience
  • Experience in Microsoft Office Suite, including Excel
  • Experience creating, maintaining, and interpreting spreadsheets.
  • Experience working with students in a high school or college setting.

  • Experience navigating large databases and learning management systems (i.e. NOVA's Oracle based Student Information System, Canvas, Subaru University, and iCAR).Experience coordinating or assisting with events
