Essential Job Duties and Responsibilities:

Scheduling & Coverage

  • Create and publish weekly/biweekly schedules for assigned homes/programs to meet required coverage and support needs.
  • Coordinate same-day coverage for call-outs, late arrivals, and emergency staffing needs.
  • Contact qualified staff for open shifts and confirm coverage, start times, and location expectations.
  • Maintain an updated staffing roster (availability, training status, restrictions, approved overtime rules).

Timekeeping & Attendance Support

  • Track call-outs, tardiness, no-call/no-show incidents, and shift swaps; ensure documentation is complete and timely.
  • Partner with supervisors and People & Culture to ensure schedules align with payroll deadlines and timekeeping practices.

Communication & Customer Service

  • Communicate schedule changes clearly to staff and supervisors (text/email/phone per policy).
  • Provide professional, calm communication during high-pressure staffing shortages.

Compliance & Risk Awareness (IDD-specific)

  • Support staffing that aligns with program requirements and safety expectations (e.g., coverage plans, training completion, medication-trained staff when needed).
  • Flag recurring staffing gaps, overtime risks, or trends that may affect quality/safety and escalate appropriately.

Reporting & Continuous Improvement

  • Produce simple weekly reports: open shifts filled, overtime hours, agency usage (if applicable), call-out trends, and chronic gaps.
  • Recommend practical improvements to scheduling processes (templates, call-out workflow, coverage lists).
  • Other duties as assigned to support 24/7 operations.
Education, Certifications & Experience Requirements
  • High School Diploma or GED required. Associate degree preferred.
  • Proven 2+ years of scheduling, staffing coordination, dispatch, or workforce coordination experience in a 24/7 environment in healthcare, behavioral health, home health, long-term care, or IDD preferred.
  • Familiarity with staffing ratios, shift differentials, and overtime controls.
  • Strong computer skills using scheduling software, Excel/Google Sheets, HRIS/timekeeping systems. Paycom experience or similar software required.
  • Ability to manage frequent interruptions and solve coverage needs quickly.
Work Environment & Physical Demands
  • Moderate noise level typical of office or program setting.
  • Typical physical requirements including moving personal belongings, light equipment, materials to and from meeting locations, etc.
  • Expected to be on call 24/7 unless other arrangements are made ahead of time.
  • Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.
  • This is a salaried, exempt position that requires flexibility. Standard office hours are expected, but the role will require visits to community homes, attendance at evening/weekend team meetings, and participation in an on-call rotation.
  • Work is performed in both an office environment and in community-based homes.
Travel Required
  • This position requires limited travel throughout Metro Atlanta.
