About Us

NGM is a fast-growing natural gum manufacturer. We run multiple production lines and warehouses and need a sharp, reliable Administrative Assistant to help keep the office, paperwork, and communication organized.

About the Role

The Administrative Assistant will support Operations, HR, and Warehouse/Production with day-to-day admin tasks. This role is ideal for someone who is detail-oriented, good with people, and comfortable juggling multiple priorities in a busy manufacturing environment.

Key Responsibilities

Office & General Admin

  • Greet visitors, answer phones, and route calls/messages to the right person.
  • Monitor shared inboxes and respond or forward emails as needed.
  • Maintain digital and physical filing systems for company documents.

Documentation & Data Entry

  • Enter data into spreadsheets and internal systems (production logs, timekeeping notes, inventory forms, etc.).
  • Help collect, scan, and organize production and QC documents (batch sheets, checklists, reports).
  • Prepare simple reports and summaries for management from Google Sheets / Excel.

Scheduling & Coordination

  • Assist with scheduling interviews, meetings, and trainings.
  • Help track and post schedules for office and production staff when needed.
  • Coordinate with supervisors and leads to collect paperwork on time.

HR & Operations Support (Light)

  • Assist with new-hire paperwork packets and onboarding checklists.
  • Help maintain employee files and basic record-keeping.
  • Order office supplies and help with vendor communication as needed.

Qualifications

Required

  • 1+ year experience in an administrative, receptionist, or office support role.
  • Comfortable with Google Workspace or Microsoft Office (Docs/Word, Sheets/Excel, Gmail/Outlook).
  • Strong attention to detail and accuracy with paperwork and data entry.
  • Good written and verbal communication skills.
  • Ability to prioritize tasks, follow instructions, and work independently once trained.

Preferred

  • Experience in manufacturing, warehouse, food, or production environment.
  • Bilingual English/Spanish is a plus.

Pay & Schedule

  • Pay: $23.00 per hour
  • Schedule: Full-time; exact hours and shift discussed during interview (daytime, Monday–Friday preferred, with some flexibility as needed).
