JOB BRIEF
Parkway East Design is seeking an organized and proactive Administrative Assistant to join our growing team and provide exceptional support to our design team. In this role, you will serve as the backbone of the studio's operations, taking ownership of administrative, organizational, and coordination tasks as you help to streamline workflows, manage schedules and communications, and maintain client and vendor relationships with professionalism and care. RESPONSIBILITIES
Administrative Support
:
- Manage the Principal Designer's calendar, prioritizing daily tasks and creating time blocks for focused work to shield her from unnecessary interruptions.
- Monitor and filter the studio's inboxes, drafting and sending correspondence to ensure prompt response to client and vendor inquiries.
- Track time billed, compile reports, and prepare detailed client invoices.
- Order materials, furnishings, and supplies for both client projects and the studio, compiling necessary paperwork and tracking orders to ensure accurate and timely delivery.
- Maintain financial records, including receipts, invoices, and expenses while coordinating with bookkeeping to ensure accurate financial reporting.
- Attend meetings with the Principal Designer, take detailed notes, and distribute action items to appropriate parties.
- Select and send thoughtful gifts or thank-you cards to clients, vendors, or team members to express appreciation and build relationships.
- Coordinate studio events, such as installations, client appreciations, or team celebrations, handling logistics like venue booking, catering, invitations, and setup.
- Complete errands as needed, such as picking up samples, delivering documents, or managing returns.
- Keep the studio workspace clean, organized, and presentable for clients by restock supplies, organize samples, and ensuring the environment supports productivity.
Project Coordination
:
- Assist in tracking project timelines and milestones, ensuring all assignments are followed up and deadlines met as you coordinate logistics between the design team, contractors, and vendors.
- Update and maintain schedules and communicate progress to the Principal Designer.
Marketing Support
:
- Help document the studio's activities, including project updates, team achievements, and noteworthy events for internal use and marketing purposes.
- Assist in planning, creating, and scheduling content for social media while engaging with our followers and responding to comments and messages.
- Regularly update the studio's portfolio, blog, and website with new project images, articles, and announcements, ensuring consistency with the studio's brand.
QUALIFICATIONS
Required Skills & Experience
:
- 3+ years of administrative support experience, ideally in a creative, design, or project-based environment, with proven experience managing calendars, coordinating schedules, and handling logistics.
- Exceptional organizational and time management skills, with ability to prioritize multiple tasks on deadline with strong attention to detail.
- Excellent verbal and written communication skills, with a professional and personable demeanor.
- Strong critical thinking skills and confidence in decision-making, with the ability to anticipate needs and resolve issues independently.
- Highly collaborative nature, with a dedication to providing excellent service while ensuring a positive experience for all.
- Takes full accountability for their work responsibilities while maintaining discretion and professionalism when handling sensitive or confidential information.
- Ability to learn new skills and adapt quickly within the workplace, always striving to develop their talents and abilities.
- Experience assisting with social media content creation, scheduling, and engagement.
- Proficient in Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook), project management tools (e.g., Asana), and graphic design software (e.g., Canva, Adobe Creative Suite).
Nice to Haves
:
- Experience in or knowledge of the interior design, architecture, or creative industry.
- Degree in administration, interior design, or other relevant field of study
