Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office management tools, and the ability to multitask in a fast-paced environment. Experience with office software, multi-line phone systems, and clerical duties is essential to ensure smooth daily operations.

Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendars using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain organized records
  • Handle incoming and outgoing correspondence, including emails and mail
  • Assist with basic bookkeeping using QuickBooks or similar software
  • Support office management tasks such as supply inventory and document proofreading
  • Provide excellent customer support via phone, email, or in person
  • Maintain a professional appearance and uphold office etiquette at all times
  • Collaborate with team members to ensure efficient office operations

Requirements

  • Proven experience in office management, clerical work, or as a receptionist
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Experience with multi-line phone systems and phone etiquette
  • Bilingual skills are a plus for effective communication with diverse clients
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills and attention to detail for data entry and proofreading tasks
  • Knowledge of QuickBooks or bookkeeping experience is preferred
  • Previous experience in medical or dental reception is advantageous but not required
  • Ability to handle confidential information discreetly and professionally
  • Exceptional customer service skills with a friendly demeanor and professional appearance
