Job Summary
We are seeking an energetic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient work environment. This pivotal role involves managing administrative functions, supervising staff, coordinating vendor relationships, and maintaining a productive office atmosphere. The ideal candidate will bring a proactive attitude, excellent communication skills, and a passion for creating an organized, welcoming space that supports team success and organizational growth.

Responsibilities

  • Oversee daily office functions, including clerical tasks, filing systems, and front desk operations to ensure seamless workflow.
  • Manage schedule coordination for staff meetings, appointments, and company events to maximize efficiency.
  • Supervise administrative staff and provide training & development opportunities to foster a motivated team environment.
  • Handle vendor management by negotiating contracts, processing invoices, and maintaining strong professional relationships.
  • Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee payroll processing and human resources functions, as needed
  • Coordinate event planning activities for company meetings, team-building events, and community outreach initiatives.
  • Manage office supplies inventory, ensure equipment maintenance, and implement cost-effective budgeting strategies.
  • Additional tasks, as needed.

Skills

  • Proven experience in office management or administrative roles with strong clerical and organizational skills.
  • Demonstrated supervising experience with the ability to lead and motivate teams effectively.
  • Proficiency in QuickBooks for bookkeeping and payroll management; familiarity with budgeting processes.
  • Excellent communication skills with professional phone etiquette and the ability to manage multi-line phone systems.
  • Strong event planning capabilities along with vendor management expertise to coordinate external services smoothly.
  • Knowledge of human resources practices including employee onboarding, training, and compliance requirements.
  • Experience managing office environments is a plus; familiarity with front desk operations and calendar management.
  • Bilingual (English/Spanish) is a plus.
  • Experience in construction, stone, or home improvement industries is preferred.

Required Working Hours:

  • Monday Through Friday from 8 am to 5 pm, and Saturday from 10 am to 3 pm.

Pay: $ $25.00 per hour
