Job Overview
The Pet Care Operations Manager will lead company-wide operations by implementing strategic plans, managing department heads, and driving operational excellence while making data-driven decisions that are fully aligned with senior leadership.
This position bridges animal care with strategic business leadership, encompassing financial oversight, team development, vendor negotiations, and risk mitigation. The manager will evaluate all business lines, services, products, events, and strategies through feasibility studies, ROI calculations, and profitability forecasting — ensuring only initiatives approved by senior leadership are executed.
All actions, decisions, and communications must remain consistent with executive direction. Independent or unauthorized deviation from established company strategy, policies, or leadership directives is not permitted.
The ideal candidate will ensure our facility runs efficiently, profitably, and with a client-centered approach that reinforces order, accountability, and unity across all teams.
Key Responsibilities
Daily Operations Management
- Incorporate productivity principles across daily operations.
- Embed outcome-focused metrics: pet well-being, client satisfaction, and revenue-affirming services.
- Use SMART goals to ensure every staff member understands measurable targets (e.g., grooming timeliness, zero missed health notes).
- Ensure that all initiatives and operational practices are executed only with leadership approval and oversight.
Strategic Leadership & Execution
- Translate executive directives into actionable strategies.
- Develop scalable operational systems that enhance service delivery and business growth.
- Conduct feasibility studies and ROI assessments on proposed services, events, or strategies before execution.
- Ensure all staff actions remain strictly aligned with senior leadership directives and the organization's mission.
- Balance quality + output: track both service numbers and quality indicators (reviews, safety incidents, redo rates).
- Leverage leading indicators: daily checklists, mid-shift evaluations, progress reports.
- Utilize dashboards (Gingr, POS, CRM) for occupancy, upsell rates, throughput.
Operational Oversight
- Ensure staff maintain all Patriot's Pet Care facilities. This includes daily interior cleaning and sanitization, and ensuring exterior property is kept clean, debris-free, and uniformly landscaped.
- Ensure effective planning, organizing, and problem-solving across departments (grooming, daycare, training, boarding, transportation).
- Develop & implement SOPs for all business lines and services ensuring efficiency & effectiveness.
- Use time-blocking for enrichment/training sessions to avoid context switching.
- Adopt lean practices (e.g., digital intake forms, pre-prepped grooming kits).
Team Supervision & Delegation
- Provide direct supervision to managers. Set measurable objectives and suspenses, delegate effectively, and promote accountability.
- Establish and enforce strict adherence to the chain of command. Independent or subversive actions outside leadership-approved channels are not permitted.
- Conduct huddles to align and set goals.
- Clarify roles where operations and services overlap.
- Create regular feedback loops (beyond annual reviews).
- Recognize and reward outstanding contributions.
Stakeholder Communication
- Present weekly performance metrics, and strategic updates to CASO/COO/CEO.
- Facilitate cross-functional training and collaboration while maintaining transparency.
- Maintain full transparency and accountability to leadership. Unauthorized decisions, initiatives, or communications are prohibited.
- Avoid vanity metrics; focus on meaningful outcomes that improve well-being and loyalty.
- Balance productivity targets with staff wellness to prevent burnout.
Client Experience & Business Development
- Collaborate on customer engagement strategies, marketing initiatives, and community outreach.
- Foster positive client relationships.
- Invest in regular staff training on behavior, safety, enrichment, and customer care.
- Reward innovation that saves time or improves safety.
- Build a culture of learning that celebrates progress, not just raw output.
Risk & Compliance
- Oversee compliance with animal welfare laws, labor laws, safety regulations, and insurance standards.
- Proactively manage risk across all operations.
- Ensure that deviations from company policy or leadership directives are addressed immediately with corrective measures.
Experience
- 10+ years in operations or business management, with at least 5 years in a senior leadership role—preferably in the pet care, veterinary, or service industry.
Leadership & People Skills
- Proven leadership with the ability to motivate, coach, and manage cross-functional teams.
- Strong conflict resolution and emotional intelligence.
- Demonstrated ability to enforce accountability and maintain order across complex operations.
Analytical & Problem-Solving Skills
- Strong business acumen, ability to analyze complex data, make informed decisions, and drive process improvements.
- Skilled in ROI-based evaluation and forecasting profitability of new initiatives.
Financial Acumen
- Deep understanding of business financials including budgeting, forecasting, modeling, and strategic investment planning.
Customer Orientation
- Ability to maintain a client-first approach while managing the business backend.
- Experience in CRM practices preferred.
Adaptability
- Thrives in dynamic, evolving environments with the flexibility to pivot as needed — while maintaining strict adherence to leadership-approved directives.
Education
- Master's degree in Business, Operations Management or related field. MBA or advanced certification a plus.
