Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is vital in supporting daily office operations, managing correspondence, and ensuring efficient workflow across departments. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical support. Bilingual skills are a plus to assist diverse client and staff interactions. This position offers an opportunity to work in a dynamic environment where professionalism and customer service are paramount.
Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems and coordinate communication across departments
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling
- Assist with calendar management, appointment setting, and meeting coordination
- Support bookkeeping tasks using QuickBooks or similar accounting software
- Provide customer support via phone, email, or in person, ensuring excellent service standards
- Handle clerical duties such as copying, scanning, and organizing documents
- Maintain office supplies inventory and order as needed
- Support office management functions including organizing files and managing office procedures
Experience
- Previous office experience or administrative support roles preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is advantageous
- Strong organizational skills with the ability to multitask effectively
- Excellent typing speed and accuracy along with attention to detail
- Bilingual capabilities are highly desirable to facilitate communication with diverse clients and staff
- Demonstrated ability to manage calendars, handle phone systems professionally, and provide exceptional customer service
- Familiarity with medical or dental receptionist duties, personal assistant tasks, or office management is a plus
This position is in the death care industry and our crematory office handles greiving families that have just lost a loved one or family pet. Although this position does not require interaction with the actual decedant or deceased animal, the office is located at the same facility that cremation takes place. We are looking for a proactive individual capable of managing multiple responsibilities efficiently while maintaining a compassionate and professional demeanor.
