Position Summary

Under direct supervision, performs all resident care plan computer related activity. Maintains all records and performs all secretarial work within the nursing department

Principal Responsibilities

  • Coordinates and manages staffing schedule and job assignments according to nursing department budgetary guidelines and needs
  • Contacts personnel to fill-in when there is an absence of another staff member or will fill-in themselves if necessary
  • Provides clerical support to the nursing department, which may include answering telephones for the department/unit, maintaining medical records, and preparing special reports
  • Complete/update electronic documentation, as required
  • Tracks and documents Overtime by using the time keeping system to ensure unnecessary overtime is avoided

  • Performs miscellaneous tasks as required or requested

  • Maintain and organize central supply room, ensuring cleanliness and proper storage of supplies.
  • Monitor, track, and maintain inventory levels of medical and non-medical supplies.
  • Order supplies through approved vendors; follow established purchasing procedures.
  • Receive, inspect, and verify incoming shipments for accuracy and quality.
  • Distribute supplies and equipment to nursing units and other departments as requested.
  • Ensure emergency and crash cart supplies are stocked and rotated according to facility policy.
  • Maintain accurate documentation in inventory management systems.
  • Assist with equipment cleaning, labeling, and basic maintenance as needed.
  • Work with nursing leadership to forecast supply needs and manage cost-effective ordering.
  • Support compliance with state, federal, and facility regulations related to storage and handling of medical supplies.
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Highschool diploma or equivalent
  • 2+ year of similar position is strongly preferred
  • Must have active C.N.A license within the state where work will be conducted
  • Must be able to communicate verbally and in writing in English

While performing the duties of this position, the employee is regularly required to talk or hear. The employee frequently is required to use hands or finger, handle, or feel objects, tools, or controls. The employee is required to stand; walk; sit; reach with hands and arms and pull/push; climb or balance; and stoop, kneel, crouch, or crawl. The employee must lift and/or move up to 50 pounds without assistance and pounds with assistance. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus

Work Environment – Office

This job operates in a professional office environment with minimal exposure to dust, chemicals, or noise. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
