ABOUT THE ROLE
We are seeking a part-time Executive Assistant with strong administrative and organizational skills to provide high-level support to the firm's West Palm Beach office in a fast-paced work environment. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. We are looking for a candidate that is enthusiastic about growing their skills and take on new responsibilities to provide high level, value-add support for the firm, along with a willingness to pitch in and collaborate with other administrative team members. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
RESPONSIBILITIES
- Calendar and schedule management:
Maintain and manage the executive's daily schedule, including meetings, appointments, and events. - Communication management:
Serving as the liaison between executives and internal/external partners. - Travel coordination:
Arrange and book flights, hotels, and other travel and accommodation for executives. - Document preparation:
Prepare and edit documents, presentations, reports, and other materials, often using software like Word, Excel, and PowerPoint. - Administrative support:
Perform general office duties including comprehensive expense filing (Concur or similar experience processing expenses; preferred). - Liaison and coordination:
Coordinate with internal and external stakeholders, including clients and other departments, on behalf of the executive. - Meeting support:
Plan, schedule, and prepare agendas for quarterly board of directors' meetings. - Reception:
Filling in at the reception desk, as needed. - Confidentiality:
Maintain professionalism and strict confidentiality with all materials. - AdHoc tasks
GENERAL REQUIREMENTS
- Proficiency with Concur, Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Flexible, adaptable, and resilient team player with willingness to help.
- Exceptional attention to detail and accuracy and the ability to follow-up with a sense of urgency is essential.
- Strong work ethic and ability to prioritize a diverse workload.
- Technologically savvy and willing to learn new systems in a short period of time.
- Ability to work closely with a team of assistants in a collaborative culture.
- Terms: Part-Time; Mon-Thurs: 9am-3pm or 10am-4pm, Fri: 9am-12pm or 10am-1pm
- Experience: 3-5 years.
