Our professional services firm is seeking a highly skilled and proactive Executive Assistant to support our CEO. As a key member of our team, you will play a pivotal role in ensuring the smooth operation of our executive office, managing the CEO's calendar, email, and other administrative tasks. Role summary
Rain Corporation is seeking an Executive Assistant to the CEO who can provide exceptional administrative support and help move important initiatives forward across multiple business units. The role requires excellent judgment, strict confidentiality, and the ability to work closely with a founder in a fast-paced, high-trust environment.
Key responsibilities
Executive and administrative support
- Manage and prioritize the CEO's calendar so time aligns with the highest-impact work, relationships, and travel.
- Oversee email and other communications, draft responses, and maintain timely, professional contact with clients, partners, and internal team members.
- Coordinate domestic and international travel, including detailed itineraries and real-time adjustments as needed.
- Prepare agendas, materials, and concise follow-ups for meetings, ensuring decisions and next steps are clearly captured.
Projects and coordination across teams
- Help organize and keep momentum on key initiatives across software-related work, MES implementation, assurance support, and digital marketing, coordinating tasks, timelines, and communication.
- Support internal communication by helping the CEO share priorities, decisions, and updates clearly with the broader team.
- Assist in planning and executing company events, retreats, workshops, and important client or partner meetings.
Confidentiality and CEO leverage
- Handle all information related to the CEO, employees, clients, and company strategy with strict confidentiality and discretion at all times.
- Learn the CEO's working style and preferences to make sound day-to-day decisions in clearly defined areas and to anticipate needs before they arise.
- Gather information and perform light research on topics related to manufacturing, software, operations, and marketing, summarizing insights into clear, actionable formats.
Ideal candidate profile
Experience
- 3–7+ years in roles such as Executive Assistant, Executive Administrator, Operations or Project Coordinator, or similar, supporting senior leaders.
- Experience in a larger or more structured organization in manufacturing, industrial services, sales, or marketing is strongly preferred.
- Experience in entrepreneurial, small-business, or founder-led environments is a strong plus.
Skills and attributes
- Exceptional organization, time management, and follow-through; able to manage many moving parts with accuracy and calm.
- Strong written and verbal communication skills, with the ability to professionally represent the CEO and the company.
- Proven ability to maintain strict confidentiality, handle sensitive information appropriately, and exercise excellent judgment and discretion.
- Comfortable switching between higher-level project work and detailed administrative tasks within the same day.
- Curious about how the business works and open to learning about MES, manufacturing technology, software, and digital marketing.
Education and logistics
- Bachelor's degree in business, engineering, marketing, communications, or a related field preferred, or equivalent experience.
- Ability to work primarily on-site in Noblesville, IN, with some flexibility for remote work as the business allows.
- Willingness to travel with the CEO as needed, domestically and occasionally internationally.
Confidentiality requirement
This position requires signing and adhering to a formal confidentiality and/or non-disclosure agreement covering company information, client and partner data, and personal information related to the CEO and team members. A demonstrated history of working with highly confidential information is essential for success and trust in this role.

Position type
This is a core, full-time role at Rain Corporation and is not open to freelancers or agencies. The Executive Assistant is a key partner to the CEO and a critical enabler for Rain's growth across its different lines of business
