Quest Counseling & Consulting, a private nonprofit located in Reno, Nevada, provides behavioral health services to children, adolescents and adults including substance abuse and/or mental health disorders treatment. We are currently seeking a Program Coordinator for our Outpatient Child Psychiatric team

The primary responsibility of the Child Psychology Program Coordinator is to schedule, greet and process all new clients entering treatment. This position will be tasked with fielding client calls and questions about the admissions and treatment process, assisting with insurance questions, insurance verification and ensuring all paperwork is completed accurately and completely. This position will also be responsible for providing TCM to Quest clients referred by the primary counselor. This position will be primarily located in our Outpatient Child Psychiatric Program.

Essential Functions:

  • Greeting clients, guests and staff in a warm and friendly manner when they arrive or call the office.
  • Maintain a calm, orderly, neat and inviting environment for clients and families.
  • Schedule and coordinate assessments and counseling appointments in scheduler
  • Accurately enter client information into the Dr. Cloud, EHR system including initial appointments, rescheduled, and completed assessments.
  • Be familiar with the Medicaid portal; check client eligibility regularly.
  • Adhere to the agency's policies and procedures regarding cash, check and credit card payments and cash drawer balance.
  • Maintain familiarity with the agency's electronic form submission system; send out all necessary consents for assessments at time of scheduling; send other forms as requested by clinical staff.
  • Securing and verifying payer sources, including: Checking and verifying Medicaid eligibility if the client has Medicaid.
  • Scheduling clients without insurance/alternate payor sources with DWSS (Division of Welfare and Supportive Services) Specialist assigned to our agency to apply for Medicaid Benefit.
  • Utilize Sliding Fee Scale or Grant Funding when appropriate. Coordinate closely with the Administrative Manager.
  • Entering demographic information into Dr. Cloud (electronic health record system) in a timely and accurate manner. Ensuring all providers are entered into the Client's Provider Info. Add all ROI contacts into the Client's Contacts Directory with correct ROI status.
  • Uploading documents to the client file cabinet/ scan other documents into client file cabinet in Dr. Cloud
  • Assesses and periodically reassess individual needs, to determine the need for any medical, educational, social, or other services.
  • Develops and periodically revises a specific care plan based on the information collected through the assessment that includes the goals and actions to address the medical, social, educational, and other services needed by the eligible recipient.
  • Makes referrals and does related activities to help the eligible individual obtain needed services, including activities that help link the individual with medical, social and educational providers or other programs and services that are capable of providing needed services to address identified needs and achieve goals specified in the care plan
  • Monitors and follows-up on activities. Includes activities and contacts that are necessary to ensure that the care plan is effectively implemented and adequately addresses the needs of the eligible individual and may be with the individual, family members, service provider or other entities or individuals. Makes necessary adjustments in the care plan and service arrangements with providers. Monitoring may involve either face-to-face or telephone contact, at least annually.
  • Other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree from an accredited university in psychology or related behavioral health field.
  • Two (2) years' experience in general office procedures.
  • Ability to read, write, and speak in English and Spanish, and perform basic math skills.
  • Outstanding organizational skills.
  • Ability to work independently and prioritize multiple tasks effectively.
  • Strong attention to detail.
  • Excellent verbal and written communication skills.
  • Experience with Microsoft operating system and software.
  • Ability to adhere to HIPAA and 42 CFR Part 2 confidentiality requirements pertaining to client protected health information.

Job Type: Full-time

Pay: $23.00 per hour
