JOB SUMMARY:
The Receptionist is responsible for the facility's first impression with the community by greeting, welcoming, communicating and directing visitors in person or on the phone to the proper department or person within the facility. The receptionist performs administrative duties that assists the business office operations.

JOB RESPONSIBILITIES:

  • Greets any and all visitors to the facility and directs them accordingly to resident rooms and/or departments. Provides clear instructions in a language that visitors can understand about facility visitor rules. Uses interpreter as needed.
  • Ensures any and all visitors complete the Visitor Log.
  • Manages incoming calls in a courteous and professional manner, screens calls, and directs them to the appropriate department or person.
  • Informs facility personnel of incoming calls and visitors.
  • Maintains an updated roster of residents in software system, phone numbers to all resident rooms, emergency phone numbers to all on-call personnel, and department extensions.
  • Assists in scheduling resident appointments as needed.
  • Operates overhead paging system as needed.
  • Creates and maintains a calming atmosphere of warmth, personal interest, and customer service.
  • If appropriate, offer beverages to visitors waiting for administrative personnel.
  • Completes monthly inventory and order of office supplies for facility managers.
  • Assist department directors in administrative/clerical matters.
  • Immediately report any and all suspicious person(s)/activities to the Business Office Manager or Administrator.
