Job Summary
The Front Desk Coordinator is the first touchpoint of the patient experience and plays a key role in shaping how patients feel from the moment they walk in (or call) the practice. This role is responsible for delivering exceptional hospitality, managing scheduling and check-in/check-out workflows, and supporting operational efficiency to ensure providers and patients are set up for success.

Acting as both an ambassador of our values and a driver of practice results, the Front Desk Coordinator facilitates smooth daily operations, actively contributes to patient satisfaction, and supports achievement of key business metrics. This role requires strong communication, attention to detail, and a passion for creating welcoming, patient-centric experiences.

Duties/Responsibilities

  • Effectively manage incoming patient phone calls.
  • Provide high level customer service and hospitality to patients upon the check in and check out process.
  • Collaborate effectively with other roles on site to meet patient satisfaction requirements and hit sales metrics.
  • Hit required metrics by re-booking patients post treatment services.
  • Manage patient schedule and collaborate with other team members to ensure it is always as full as possible.
  • Effectively check out patients for services using quotes for services and skincare products as well as navigate patient payments including patient financing and cash handling.
  • Navigate different software systems throughout the patient experience.
  • Participate in weekly touch bases with the Practice Manager.
  • Actively participate and engage in weekly meetings and trainings.
  • Actively work with the Practice Manager to handle patient complaints and concerns in a timely manner.
  • Maintain OSHA and HIPAA compliance within the practice.

Qualifications

  • High school diploma required.
  • Experience in a hospitality role preferred.
  • Excellent communication and interpersonal skills.
  • Outstanding organizational and leadership skills.
  • Good knowledge of MS office.
