Administrative Assistant Job Description
Equal Shares Parenting is seeking experienced candidates for the position of Administrative Assistant at our Family Activities Center in Olivette.
POSITION SUMMARY
The Administrative Assistant is the first point of contact for clients and partners. You'll help create a positive and organized experience—handling phone calls, scheduling appointments, overseeing office logistics, and supporting our Family Activities Coordinator during events.
RESPONSIBILITIES
- Reception and client relations
- Act as the friendly voice and face of Equal Shares Parenting, greeting and assisting clients in person and via phone/email
- Handle incoming phone calls and general inquiries with professionalism and warmth.
- Handle general administrative tasks: filing, data entry, light bookkeeping, and record updates
- Promotes the Family Activity Center's events and programming through creation of
ESP's newsletter
- Ensures client's profiles are complete
- Manages schedules for Clinical Team
- Supports Founder in Benefits Verification for insurance panels
- Supports Founder with follow up on outstanding balances and clients fees
- Completes initial intake calls for prospective clients
- Attends monthly all-staff meetings
- Collaborates with Family Activities Coordinator for community events
- Collaborates with Clinical Team to ensure materials are ordered for therapy, community events, and or parenting workshop
KNOWLEDGE, SKILLS, AND ABILITIES
- Excellent interpersonal and communication skills; warm and professional demeanor.
- Highly organized and detail-oriented; ability to multitask.
- Experience with administrative tasks: scheduling, filing, data entry.
- Strong professional written communication skills
- Demonstrated discretion with confidential information and records.
ESSENTIAL QUALIFICATIONS
- Organized, helpful, and excellent customer-service skills
- High school diploma or equivalent experience required;
- Commitment to working with historically underserved patient populations
- Proficiency in Microsoft Office 365, Google Suite software, Canva
Performs other duties as assigned.
WORKING CONDITIONS
- Work is performed remotely, with some work completed in the office or community (Hybrid)
- Occasional evening and weekend activities
- Average physical effort with some handling of light weights such as supplies or materials on an infrequent basis pounds)

Job Types: Part-time
Pay: $18-$25 per hour
Schedule:
- Monday to Friday up to 16 hours per week (Flexible). Some Saturdays based on activities planned.
Pay: $ $25.00 per hour
Expected hours: 20.0 per week
