Intellectual Property Legal Assistant

Key Responsibilities:

  • Prepare, proofread, revise, profile, and save correspondence and drafts of documents.
  • Client billing activities include time entry, proofreading, modifying, and sending client invoices.
  • Overall administrative support to the practice group, which includes two attorneys.
  • Assist with opening new files using Aderant and Foundation IP.
  • Prepare/send/save Engagement Letters to new clients.
  • Scan incoming mail and distribute to appropriate attorneys
  • Save e-mails for attorneys in NetDocs.
  • Assist with preparation of formal documents, including Application Data Sheets, IDSs, Declarations, Powers of Attorney, Assignments, Issue Fee Transmittals, and general transmittal letters.
  • Send docket-filed reporting e-mails; assist with other reminders as needed
  • Provide docket report and FIP updates to attorneys.
  • Assist with wire/check requests as needed; Assist with Expense reports as needed; Save/address invoice e-mails as needed and direct to Accounting for processing.
  • Assist with USPTO Filings.
Education and Qualifications Requirements
Education: Associate degree, High School Diploma, GED Equivalent, or industry-specific certifications.
Required Skills
  • Organization and Multitasking: Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Attention to Detail: Ensuring precision in proofreading documents, filing, and meeting deadlines.
  • Communication Skills: Strong written and verbal communication skills for interacting with attorneys, clients, and external parties.
  • Legal Knowledge: Familiarity with legal terminology, court systems, and document requirements.
  • Technical Proficiency: Proficiency in using Microsoft Office Suite, legal tools (e.g., case management systems, e-filing platforms, document management systems), and office equipment.
  • Professionalism: Maintain discretion and confidentiality when dealing with sensitive client and case information.
  • Problem-Solving: Ability to anticipate attorneys' needs and proactively address issues.

  • Work From Home: This position offers onsite work with the opportunity to work up to two days remotely per week after a six-month onboarding period.
