We are seeking a professional and organized Front Desk Receptionist to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. The ideal candidate will have strong office management skills, proficiency with computer systems, and excellent communication abilities. Responsibilities
- Greet visitors and clients promptly and professionally, creating a welcoming atmosphere
- Manage multi-line phone systems, directing calls accurately and courteously
- Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace
- Perform data entry, filing, and maintain accurate records using QuickBooks and other office software
- Support office management tasks such as proofreading documents, managing correspondence, and organizing files
- Provide exceptional customer support via phone, email, or in person
- Assist with administrative duties including typing, document preparation, and maintaining office supplies
- Ensure proper phone etiquette is maintained at all times
- Support bookkeeping tasks as needed, including basic invoicing and record keeping
Experience
- Previous office or administrative experience preferred, including clerical or receptionist roles
- Familiarity with front desk operations and multi-line phone systems
- Experience with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Knowledge of QuickBooks or similar accounting software is advantageous
- Bilingual abilities are highly desirable to serve a diverse clientele effectively
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills with a professional phone etiquette and customer service orientation
- Proven ability to manage time effectively and prioritize tasks to meet deadlines
- Experience in medical or dental reception is a plus but not required; relevant personal assistant experience is also beneficial
