Job Summary:
This
Payroll Specialist
is responsible for overseeing accurate and timely compensation for employees across multiple locations. The Payroll Specialist will manage payroll records, ensure adherence to regulatory requirements, and serve as a key point of contact for payroll-related questions. The position works cross-functionally with various departments to support smooth, efficient payroll operations and deliver excellent employee service.
Key Responsibilities:
Payroll Processing
- Manage end-to-end payroll operations, including weekly, bi-weekly, and special payroll runs
- Ensure accurate calculation of wages, bonuses, overtime, deductions, and taxes
- Verify and reconcile payroll data for accuracy and compliance
Timekeeping & Data Management
- Collect, review, and verify employee timekeeping data
- Resolve discrepancies in coordination with supervisors
- Process payroll within established deadlines
Process Improvement
- Identify opportunities to streamline and enhance payroll operations
- Develop and document standard operating procedures (SOPs)
- Work with IT/payroll vendors to implement system upgrades and improvements
Compliance & Reporting
- Ensure payroll practices align with federal, state, and local regulations
- Prepare required labor reports (e.g., BLS reporting)
- Stay updated on changes to payroll laws and update processes accordingly
Employee Support
- Serve as the primary contact for payroll-related questions
- Provide training and guidance on payroll policies and procedures
- Support onboarding of new hires with payroll system education
System Management
- Maintain payroll systems and ensure accurate data entry
- Troubleshoot system issues and work with vendors on resolutions
Audits & Controls
- Conduct regular payroll audits to ensure accuracy and prevent errors
- Maintain proper documentation for all payroll transactions
- Support internal and external audits, including W-2 preparation
Qualifications:
- Degree in Accounting, Finance, Human Resources, or a related field.
- Minimum of 2-4 years of experience in payroll processing.
- Experience working in home health care.
- Strong understanding of federal, state, and local payroll laws and regulations.
- Proficiency with payroll software and EMR systems.
- Excellent attention to detail and organizational skills.
- Strong analytical and problem-solving abilities.
- Ability to handle sensitive and confidential information with discretion.
- Excellent communication and interpersonal skills.
