Position Summary
The Systems & IT Manager is responsible for overseeing the company's technology infrastructure, ensuring secure and reliable systems that support clinical, administrative, and operational functions. This role manages IT operations, systems administration, cybersecurity, help desk support, and technology vendor relationships. The Systems & IT Manager ensures all systems and processes meet healthcare-compliance standards, including HIPAA, while scaling the company's technology environment to support growth across multiple clinical locations and service areas in a mostly remote environment.
Key Responsibilities
IT Operations & Infrastructure Management
- Oversee the design, maintenance, and optimization of the company's IT infrastructure, including networks, servers, hardware, software, VoIP systems, and cloud services.
- Manage the lifecycle of all IT assets—from procurement and setup to replacement and disposal—in alignment with budget and company needs.
- Ensure uptime and reliability of clinical and administrative systems used in ABA service delivery.
Data Governance & Reporting:
- Serve as the primary owner of company-wide data architecture and reporting systems.
- Ensure data consistency, accuracy, and accessibility across platforms by defining standards, processes, and quality controls.
- Lead the creation and maintenance of dashboards, analytics tools, and performance reports to support strategic decision-making.
- Collaborate with business leaders to understand reporting needs and translate them into scalable solutions.
Systems Administration
- Administer and support core systems such as electronic health records (EHR/EMR), practice management software, scheduling platforms, and data-tracking tools used by clinical teams.
- Ensure data integrity, access provisioning, permissions management, and role-based security configurations.
- Oversee user onboarding/offboarding across all systems and platforms.
Cybersecurity & Compliance
- Lead the company's cybersecurity initiatives, including monitoring threats, enforcing security protocols, and maintaining current knowledge of healthcare IT best practices.
- Ensure strict compliance with HIPAA, HITECH, and internal privacy policies regarding PHI and sensitive information.
- Maintain secure backup, recovery, and business continuity processes.
- Conduct regular system audits, risk assessments, and security awareness training for employees.
Technical Support & Customer Service
- Oversee IT help desk operations, ensuring timely resolution of technical issues for clinical and administrative staff.
- Develop and document IT policies, procedures, and user guides to support staff technology use.
- Provide hands-on support when needed, especially for escalated or high-priority issues.
Vendor & Project Management
- Manage relationships with IT vendors, MSPs, telecom providers, and software partners.
- Evaluate, select, and implement new technology solutions to support operational efficiency and clinical growth.
- Coordinate IT components of new clinic openings, relocations, or expansions, including network setup and system deployment.
- Oversee IT-related contracts, renewals, and service-level agreements.
Strategic Planning & Continuous Improvement
- Work with leadership to develop the company's IT roadmap and ensure technology infrastructure aligns with strategic goals.
- Identify opportunities to improve system performance, reduce downtime, streamline workflows, and enhance user experience.
- Stay informed of emerging technologies relevant to healthcare and ABA operations.
Qualifications
Required
- Bachelor's degree in Information Technology, Computer Science, or related field (or equivalent experience).
- 5+ years of experience in IT operations or systems administration.
- Minimum 2 years' experience managing a team of other IT professionals
- Strong understanding of networking, cloud platforms, security protocols, and hardware/software management.
- Demonstrated experience managing IT support functions and implementing system improvements.
- Knowledge of HIPAA compliance and healthcare privacy/security requirements.
- Ability to provide a full analysis of current systems, integrations and infrastructure of assess needs and make recommendations for optimal user experience.
- Excellent problem-solving skills and the ability to manage multiple priorities.
- Strong communication skills and the ability to work effectively with non-technical staff.
Preferred
- Experience in healthcare, behavioral health, ABA, or multi-site service organizations.
- Familiarity with ABA industry systems (e.g., CentralReach, Catalyst, AccuPoint, Rethink, WebABA).
- Certifications such as CompTIA A+/Network+/Security+, CCNA, or equivalent.
- Experience with Power BI, Monday and cloud platforms (Microsoft 365/Azure, Google Workspace) and MDM tools.
