Coordinator, Development

The Coordinator, Development plays a key role in supporting the Group Head of Development in driving global strategic initiatives and ensuring operational excellence across the Development function. This position offers exposure to high-impact projects, cross-functional collaboration, and strategic planning, making it ideal for a motivated professional early in their career who seeks to develop expertise in hospitality development and project management. The role also requires support for travel planning, calendar management, and expense report submissions for the Group Head of Development, as well as for the VP Development Americas, but is primarily focused on coordination, analysis, and strategic execution.

What You'll Be Doing:

Strategic & Project Coordination (85%)

  • Manage, improve, or create internal databases and departmental tools (e.g., BirdsEye); coordinate with regional teams to ensure data accuracy and updates. 
  • Maintain and update project trackers; monitor progress, schedule follow-ups, allocate tasks, and communicate with stakeholders. 
  • Support creation and maintenance of project files and report templates. 
  • Draft and distribute announcements, letters, memos, presentations, and reports as required. 
  • Create professional presentations for internal stakeholders and assist in preparing quarterly Board materials. 
  • Respond to external inquiries on new project opportunities; conduct intake calls, collect required information, and notify the team promptly. 
  • Plan, set up, and coordinate cross-functional strategic initiatives and meetings, including workstreams and strategic sessions. 
  • Liaise with the Office of the CEO on project status updates. 
  • Research industry trends as well as the background of firms or individuals relevant to Group Head of Development's needs and priorities. 
  • Manage DIP process with Group Head and Finance; assist in setting up the annual departmental budget and monitor expenditures. 
  • Organize offsite events and team operating cadence (quarterly reviews, offsites, etc.). 
  • Undertake special projects and provide ad-hoc assistance to general organizational needs.

Administrative Support (15%)

  • Responsible for travel planning, calendar management, and expense report submissions for the Group Head of Development, as well as for the VP Development Americas. 
  • Manage calendars, including travel dates, meetings, and conference calls.
  • Coordinate all aspects of domestic and international travel, including itineraries, airline reservations, hotel accommodations, meeting details, rental cars, visas, and related documentation.
  • Manage expense reporting.

What You Bring:

  • Minimum 3 years as a Business Analyst or experience in hospitality or development industries
  • Organizational skills, ability to support multiple team members, command of MS Office tools such as PowerPoint and Excel, research capabilities.
  • College or university degree.
  • Experience in project management and proven ability tracking advancement.
  • Superior proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Understanding of travel and expense systems (e.g., Concur)

This role will be a Hybrid working model, which will require 3 days per week in the Miami Four Seasons Corporate Office (3 days per week) located at 1441 Brickell Avenue, Suite 1007, Miami, Florida.
