Front Office Administrator – Now Hiring
Location: Moline, IL
Pay: $16.00 – $22.00/hour (based on experience)

We are looking for an exceptional Front Office Administrator who can help lead our daily operations with warmth, clarity, and purpose.
Our ideal candidate will combine strategic thinking and demonstrated leadership with exceptional emotional intelligence and a warm, patient-centered personality. As the first and last point of contact for our patients, you'll be the friendly face (and steady force) keeping the office running smoothly. You'll bridge the clinical and administrative teams, streamline workflows, and ensure every patient feels informed, comfortable, and genuinely cared for. This position requires accuracy, accountability, professionalism, and exceptional communication skills.
Key Responsibilities
Patient Experience & Appointment Management
· Create outstanding patient experiences from hello to checkout
· Manage phones, all digital messaging, and patient inquiries with confidence, consistency, and kindness
· Schedule, confirm, and coordinate appointments while keeping the schedule productive using recalls, ASAP lists, and follow-up systems
· Communicate treatment plans, policies, and financial responsibilities clearly and confidently
· Assist patients with paperwork, medical histories, and forms with compassion and professionalism
Clinical & Financial Coordination
· Accurately enter insurance and financial information, collect co-pays, and maintain precise patient accounts, keeping accounts receivable to a minimum
· Assist the Financial Coordinator in handling financial tasks including benefit verification, primary vs. secondary coverage, claims submission, narratives, follow-ups, and collections
· Maintain organized digital and physical records, including medical histories, consents, referrals, images, and releases
· Upload, label, and manage files and imaging correctly while keeping HIPAA and confidentiality top of mind
· Use technology confidently (MS Word, Excel, Outlook, email, PDFs, browsers; Open Dental experience strongly preferred)
· Work closely with the team to gather needed information from the patient, support efficient workflows, and problem-solve in real time
· Maintain professionalism, adaptability, and accuracy in a busy environment
