We are seeking a dynamic and highly organized Office Administrator to join our team and keep our daily operations running smoothly. Duties
- Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication.
- Manage scheduling and calendar coordination for meetings, appointments, and company events to maximize efficiency.
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
- Handle vendor management by negotiating contracts, processing invoices, and maintaining strong supplier relationships.
- Maintain accurate bookkeeping, payroll processing, budgeting, and financial record-keeping using QuickBooks or similar accounting software.
- Organize filing systems—both digital and physical—to ensure easy retrieval of documents and compliance with record-keeping standards.
- Support human resources functions such as onboarding new employees, managing employee records, and assisting with HR policies.
- Assist with event planning for company functions or community outreach initiatives to promote engagement and team spirit.
- Ensure office supplies are stocked, equipment is maintained, and facilities are organized for optimal productivity.
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Demonstrated supervising experience with the ability to lead teams effectively.
- Strong calendar management skills to coordinate schedules efficiently.
- Experience in vendor management and contract negotiations.
- Knowledge of human resources procedures, including onboarding, employee records management, and training development.
- Familiarity with medical office management or healthcare environments is a plus.
- Ability to handle clerical tasks such as filing, data entry, and front desk responsibilities with attention to detail.
