Responsibilities

  • Greet visitors professionally at the front desk, providing a warm and welcoming experience.
  • Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently and taking detailed messages.
  • Handle data entry tasks accurately using computer literacy skills, including Microsoft Office and Google Workspace applications.
  • Maintain organized filing systems—both physical and digital—to ensure quick retrieval of documents.
  • Assist with calendar management and scheduling appointments for staff members or executives.
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices.
  • Provide customer support by responding promptly to inquiries via phone or email, ensuring excellent service at all times.
  • Proofread correspondence, reports, and other documents to maintain professionalism and accuracy.
  • Perform general office management duties such as ordering supplies, managing office equipment, and coordinating maintenance.
  • Support clerical tasks like copying, scanning, faxing, and data entry to keep operations running smoothly.
  • Contribute to a positive work environment through effective communication and teamwork.

Requirements

  • Proven experience in an office setting with strong clerical skills; prior office management or administrative experience is highly preferred.
  • Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and basic computer skills.
  • Experience with multi-line phone systems and front desk operations demonstrating excellent phone etiquette.
  • Familiarity with QuickBooks or bookkeeping software is a plus.
  • Bilingual abilities are highly valued to assist diverse client needs effectively.
  • Strong typing skills with high accuracy; attention to detail in proofreading documents is essential.
  • Excellent customer service skills with a friendly demeanor and professional attitude.
  • Ability to manage time efficiently while handling multiple responsibilities simultaneously.
  • Personal assistant or medical/dental receptionist experience is advantageous but not required; relevant office experience is essential.
