About the Role
Relief Chiropractic is seeking a highly accountable, results-driven Patient Care Coordinator to manage patient communication, outbound lead conversion, and new-patient scheduling. This position is primarily REMOTE but the position may require to come into the office occasionaly
This is a performance-based position with clear metrics, structured systems, and high expectations for accuracy and professionalism.
You will be the dedicated voice for Relief Chiropractic and responsible for managing all new-patient opportunities from first contact to appointment completion.
Key Responsibilities
Outbound & Inbound Communication
Make 50+ outbound calls per hour to new leads, referrals, and follow-ups.
Answer inbound calls promptly and professionally.
Return voicemails and text responses within required timeframes.
Provide accurate information about services, offers, and first-visit expectations.
New Patient Conversion
Qualify leads based on clinic requirements.
Convert leads into scheduled appointments following the clinic's rules and availability.
Maintain a 20%+ schedule/booking rate from outbound leads.
Maintain a 90%+ patient show rate through strong communication and reminders.
Take full ownership of each new patient from initial contact to successful arrival.
Scheduling & Calendar Accuracy
Schedule correctly according to Relief Chiropractic's protocols and timing requirements.
Prevent errors such as double-booking, incorrect visit types, or mislabeling.
Document all notes with clarity, accuracy, and consistency.
Monitor daily schedule flow and support the clinic team with accurate information.
Follow-Up & Documentation
Execute structured follow-up sequences via calls, text messages, and voicemails.
Maintain detailed patient notes within the clinic's systems.
Track lead status, appointments, and communication history clearly.
Performance Expectations
This is a statistics-driven position. Representatives must meet or exceed:
50+ outbound calls per hour
20%+ lead-to-appointment conversion rate
90%+ show rate
Consistent schedule accuracy
Clear and complete documentation
Professional, clinic-aligned communication on every call
Performance is reviewed regularly, and ongoing coaching is provided.
Requirements
Required Skills & Qualifications
Excellent spoken English and professional phone presence
Strong organizational skills and high attention to detail
Ability to follow structured scheduling rules accurately
Reliable internet and quiet workspace
Strong typing, note-taking, and multitasking skills
Dependable attendance and strong sense of ownership
Preferred Experience
Healthcare call center or patient scheduling experience
Chiropractic or medical office background
Experience with CRMs, scheduling platforms, or outbound lead campaigns
Compensation
