Job Summary
We are seeking a highly organized and professional full time Front Desk Receptionist/Scheduler to join our pediatric therapy clinic located in Hoffman Estates, Illinois. In this role, the ideal candidate will serve as the first point of contact for our patients and their families, including accountability for clinic scheduling and patient check-in and check-out. Previous experience in a medical office with a minimum of 3 years previous front desk/scheduling experience required. This full time position offers flex scheduling Monday-Friday, hours vary from 9-7pm weekly and every other Saturday (745-1pm) for a total of 40 hours/week.
Duties
- Greet patients and visitors warmly, providing excellent customer service and maintaining professional phone and in person etiquette.
- Appointment management - schedule, confirm, reschedule, and cancel appointments using EMR systems, Excel or similar platforms.
- Assist with tracking insurance verification processes
- Collect patient information, update demographic records, and review documentation for accuracy.
- Manage all incoming calls and office email inquiries promptly and professionally.
- Assist with billing/statement review, including collecting and tracking co-pays
- Maintain patient confidentiality in accordance with HIPAA regulations.
- Support administrative tasks such as filing, data entry (faxing, scanning documents, and managing medical records) including administrative support for team leaders and clinicians and other tasks as assigned.
- Assist with intake procedures for new patients, tracking all incoming referrals
- Responsible for maintaining all therapist schedules, daily and as needed
- Maintain reception and office areas, keeps areas tidy and well stocked with supplies
Qualifications
- Minimum 3 years proven experience in a medical front desk role with clinic or office experience required
- Knowledge of medical terminology, ICD-9/ICD-10 coding, CPT coding, insurance verification processes, and healthcare documentation review preferred
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills—both verbal and written—and professional phone etiquette.
- Proficiency in computer skills including Microsoft Office applications (Word, Excel) and office management software platforms
- Ability to maintain HIPAA compliance and handle sensitive health information responsibly.
- Prior experience in medical billing or healthcare administrative support is preferred but not required. This role offers an opportunity to contribute significantly to patient care coordination while working in a collaborative dynamic healthcare setting that values professionalism and efficiency.
