JOB TITLE: Engineering Project Specialist

REPORTS TO: Director of Engineering

JOB SUMMARY: The Engineering Project Specialist provides administrative and operational support to engineering and project teams, with a primary focus on data entry, recordkeeping, and reporting related to domestic and international equipment deployments. This role plays a critical part in maintaining accurate inventory, asset, and project records to support field operations, cost tracking, and management decision-making.

Responsibilities are but not limited to:

  • Enter, update, and maintain accurate data in inventory, asset tracking, and project management systems to support real-time visibility of equipment and materials.
  • Assist with receiving, documenting, and processing incoming inventory, tools, and materials, including reconciling packing slips, delivery tickets, and shipping documentation with internal records.
  • Maintain detailed records of company-owned equipment and serialized assets, including location, deployment status, and condition, to support international field operations and minimize loss or discrepancies.
  • Support international equipment deployments by assisting with documentation related to shipments, returns, transfers, and asset movements across locations. Create locations and deployments in asset tracking system when necessary.
  • Assist with generating operational and project reports for management, including labor hours, material usage, inventory summaries, and job cost data.
  • Coordinate with engineering, operations, logistics, and finance teams to ensure data accuracy and timely updates across systems.
  • Help maintain and track project documentation such as deployment logs, pressure test reports, certificates of conformance, material trace reports, equipment lists, and status updates to ensure records are complete and audit-ready.
  • Identify data discrepancies or missing information and work with internal teams to resolve issues promptly.
  • Support continuous improvement efforts by helping standardize data entry processes, templates, and recordkeeping practices.
  • Develop and maintain a working knowledge of international customs, trade compliance, and logistics requirements to support the lawful and timely movement of equipment across borders.
  • Assist with preparing and maintaining documentation required for international shipments, including commercial invoices, packing lists, and other customs-related records, in coordination with logistics and compliance partners.
  • Support compliance with applicable import/export regulations, company policies, and country-specific requirements for international equipment deployments.
  • Perform general administrative and project support tasks as needed to assist engineering and operations teams.

Education and Experience:

  • High school diploma or equivalent required; associate's degree or coursework in engineering, business, logistics, or related field preferred.
  • 1–3 years of experience in an administrative, project support, inventory, or data-focused role preferred.
  • Strong data entry and organizational skills with a high level of attention to detail.
  • Proficiency in Microsoft Excel and other Microsoft Office applications; experience with inventory or asset-tracking systems preferred.

Required Skills/Abilities:

  • Ability to manage multiple tasks, meet deadlines, and work effectively in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Basic understanding of international shipping, customs clearance, and trade compliance requirements (e.g., import/export documentation, duties, and restrictions).
  • Ability to interpret and follow country-specific logistics and regulatory guidelines with attention to detail.
  • Analytical mindset with the ability to identify trends, errors, or inconsistencies in data.
  • Collaborative and dependable team player with a proactive approach to problem-solving.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Prolonged periods of operating a motor vehicle.
  • Must be able to lift up to 15 pounds at times.
