Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves providing exceptional customer service, managing administrative tasks, and ensuring the smooth functioning of daily office activities. Bilingual skills are a plus, as well as experience in medical or dental reception, bookkeeping, or personal assistance. The position offers an engaging work environment where organizational skills and professionalism are valued.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professional phone etiquette
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite, Google Workspace, and other computer software for scheduling, correspondence, and record keeping
  • Coordinate calendar management and appointment scheduling for staff and clients
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Provide customer support via phone, email, or in person, ensuring excellent service standards
  • Support office management tasks such as supply ordering, mail handling, and maintaining office cleanliness
  • Handle confidential information with discretion and professionalism
  • Support special projects or administrative duties as assigned to improve office efficiency

Experience

  • Previous office experience in administrative roles such as clerical work, receptionist duties (medical or dental reception preferred), or personal assistant roles
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and calendar management tools
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent written and verbal communication skills including phone etiquette
  • Bilingual abilities are advantageous but not required
  • Demonstrated ability to handle data entry accurately and efficiently
  • Proven ability to manage time effectively in a fast-paced environment

Job Type: Full-time

Pay: $44, $53,003.18 per year
